About you As an Operations Coordinator, you’ll play a key role in partnering with property management teams across the US, as well as centrally supporting REMS standard processes and administrative functions. In this role, you will - Ability to collaborate with leaders, managers, and peers on administrative and operational items they need to successfully manage property and minimize risk for our clients. - Use Microsoft Office Suite software and online tools to receive and complete requests, share files, and communicate project details to seamlessly support on forms and processes. - Organize and track project details for team success analytics. - Work independently on individual assigned tasks while aligning with the Centralized Support Team to ensure a standard level of support is met at a minimum. - Will be supporting West Coast REMS - Follow department policies and procedures relating to standard processes and audit compliance. - Maintain a high level of confidentiality. What you'll bring - Experience in real estate or property management - Knowledge of AVID or similar AP system - Experience with coding and entering vendor invoices into the accounting system - Demonstrated ability to meet deadlines & prioritize - Moderate to advanced knowledge of MS Office Suite, Adobe Acrobat - Work independently while supporting team initiatives - Excellent time management skills - Attention to detail - Strong communication skills - Customer service experience - Ability to maintain confidentiality Pursuant to local law, Colliers is disclosing the following information: Area/Location Specific: Remote (supporting West Coast) Approximate Compensation Range for this Role: $22.39/hr to $24/hr Our compensation ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all national locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Benefits Employees (and their families) are provided options for employer subsidized medical benefits including RX, dental, vision as well as employer paid basic life/AD&D insurance and short-term / long-term disability. Employees are able to enroll in our company’s 401k plan, which includes an employer match. Employees will also receive 10 days of sick leave and a minimum of 15-days vacation annually. Certain senior-level roles are eligible for unlimited time off. Employees will also enjoy 10 paid holidays plus two personal flex days throughout the calendar year. Twelve weeks (for birth parents) and 4 weeks (for non-birth parents, including adoptive/foster parents) for paid parental leave will also be available for use after successful completion of 90 days of employment. The Alliance Relocation Services Coordinator (temporary) is responsible for facilitating 3rd party services between Sirva Move Management, Relocation Services, Agents and Vendors. The Coordinator gathers pertinent customer information, enters and manages order and service data in the system, and resolves conflicts due to service failures. Additionally, this role researches and sources new independent contractors based on service line or geographic location to partner with Alliance Relocation Services. FUNCTIONS AND RESPONSIBILITIES 75% - 3rd Party Services: • Facilitates all steps in the order life cycle for 3rd party services provided via Sirva Move Management, Relocation Services and Agents. • Communicates with high level executive corporate transferees (move management, carriers and booking agents) to confirm orders and set clear expectations for service dates and service items; gathers street and email addresses, phone numbers and any other pertinent information. • Enters order specifications into the custom Sirva software program from initial quote through customer invoicing; specifications include, but are not limited to service type, scheduled date and time, pricing, and special notes or instructions • Assigns appropriate vendor per service order by referencing contracts and rate tables • Provides proactive recommendations of potential service failure or cost avoidance • Dispatches domestic/international 3rd party orders • Completes financial audits of revenue and payables upon completion of delivery 25% - Conflict Resolution: • Responds promptly and accurately to a variety of inquiries via phone, email and messages. These inquires could come from Movers/Corporate Customers/Transferees/Carriers/Drivers/or Sirva Associates • Acts as the first point of contact for escalations, determines resolution for service failures • Provides necessary documents to initiate the process of a service claim QUALIFICATIONS AND PREFERRED SKILLS • A minimum of two (2) years in a fast-paced environment • Two-year associate degree is useful but not required • Moving/relocation company experience would be helpful • Ability to work as part of a team • Ability to work flexible hours and weekends • Ability to work in either an office setting or from home depending on business requirements • Excellent communication skills; ability to manage stressful situations and maintain a pleasant demeanor • Problem solving ability with attention to detail • Proficient PC skills and ability to learn new software • Fluent in Outlook, Word and Excel with strong data entry skills • Ability to prioritize workload EDUCATION AND CERTIFICATION REQUIREMENTS • High school degree or equivalent • At least two years of advanced education in a business field • Associates degree or business diploma required (or equivalent experience) At Sirva, we are committed to fair and transparent compensation practices.
