Role Description We are seeking a highly organized and discreet Executive Assistant to support and anticipate the needs of senior leadership within the Law and Compliance Department(s). This role serves as a trusted partner to the Executive(s) and team, ensuring seamless day-to-day support while managing sensitive and confidential information with the highest level of professionalism, discretion, and sound judgment. The role involves managing complex administrative tasks; coordinating meetings, travel, and communications; and supporting various department operations. - Manage Compliance senior leadership calendars, schedule meetings, resolve scheduling conflicts, and prioritize competing needs. - Coordinate meeting logistics including travel, conference rooms, technology setup, and catering as applicable. - Coordinate effectively with a team of other Executive and administrative assistants across Symetra to understand internal dynamics and build and maintain a strong rapport to support cross-department/cross-function needs, identify process improvements, and ensure ongoing professional growth, tech savviness, and general upskilling. - Prepare meeting agendas and materials; take meeting minutes as needed; support large department meetings including scheduling and follow-up. - Compose, edit, and proofread a variety of communications on behalf of leaders (correspondence, reports, policies, forms, and other materials). - Support presentation development through research, detailed editing, attention to brand standards, and preparation of summary materials and reports. - Maintain confidential filing systems (electronic) and coordinate use of and access to department databases and information systems by Executives and their team. - Reconcile invoices and expense reports; assist with purchasing and vendor coordination as needed. - Organize team events (team building, offsites, department programs/initiatives) and support internal communications. - Handle incoming calls and emails, screen, and route appropriately, and prioritize time-sensitive requests. - Provide light project coordination support (tracking deliverables, monitoring status, completing project tasks for leaders and team). Qualifications - College degree or equivalent work experience required. - 5–8 years of relevant administrative or executive support experience, preferably supporting senior leadership. - A professional who projects competence through communication, organization, and demeanor. - Proven ability to handle confidential information with discretion and professionalism. - Strong written and verbal communication skills; comfort drafting, editing, and proofreading executive communications. - Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. - A curious, adaptable, strategic thinker who remains composed under pressure. - Strong calendar management, time management, and customer service skills. - Solid critical thinking skills and ability to work independently with sound judgment. - Experience with multiple technology and software platforms including Artificial Intelligence tools. - High school diploma required.
