ESSENTIAL FUNCTIONS and RESPONSIBILITIES - Accesses and assigns cases for medical case management, utilization review and clinical consultation. - Provides accurate information to callers based on customer requests; triages telephone calls between utilization review, clinical consultation and telephonic case managers. - Enters new claims data into the claims management system accurately; maintains data integrity. - Supports clinical staff through the completion of components of the case management and utilization review process. - Schedules diagnostic tests and physician appointments as assigned. - Provides channeling services for injured workers, employers and claims examiners by directing into PPO network for treatment. - Gathers statistics for record keeping and provides reports as required. - Ensures by confirmation that fax forms and filings required by regulatory agencies have been received; distributes, faxes, mails and copies incoming and outgoing correspondence. Education & Licensing Associate's degree or two (2) years of college preferred. Experience One (1) year of administrative experience required. Customer service experience in a medical field preferred. Worker's compensation, disability and/or liability claims processing experience preferred. What you'll do - Manage the applicant pipeline, review applications, assess eligibility and program fit, and maintain accurate, up-to-date candidate records in the CRM. - Conduct structured screening interviews using consistent evaluation criteria to assess readiness and recommend qualified candidates. - Serve as the primary point of contact for candidates and prospective students, respond promptly and warmly to inbound inquiries via phone, SMS, email, and interviews; provide clear updates, feedback, and program information throughout the process. - Coordinate interviews and enrollment events, handle scheduling, stakeholder communication, timely follow-ups, and staff information sessions and Q&As. - Nurture prospective students through to enrollment, follow up to facilitate decisions, assist with deposits and financing, handle deferrals and cancellations, and minimize withdrawals. - Manage financial clearance, monitor loan statuses and payments daily, ensure timely payment, flag issues to students, and maintain relationships with finance partners. - Support pre-start matriculation, keep students on track to complete all tasks before day one, troubleshoot issues with payments, loans, or pre-work access, and escalate to relevant teams as needed. - Collaborate cross-functionally with Admissions, Partnerships, Finance, Marketing, Student Services, and Leadership to align on hiring needs, optimize lead conversion, and finalize Day 1 rosters. - Track, report, and improve performance, monitor enrollment and conversion data, meet or exceed KPIs, and contribute to process and system improvements. Qualifications - Self-motivated and driven to achieve sales goals. - 3+ years in an SDR, inside sales, admissions, or account management role. - An expert and empathetic communicator. You are patient, personable, and able to communicate with a wide range of people, from spinal surgeons to stay-at-home parents. - Highly organized and effective at managing time. You know how to create a schedule and adapt when things deviate from the schedule. You are comfortable with ambiguity and excited to take on small projects. - Close attention to detail with a “no stone unturned” and “persistence wins” mentality. - You are excited to become an expert on all things related to Flatiron School and to share your knowledge with others. - Experienced in using CRMs and databases (we use Close). - Proficient in spreadsheets in either Google Sheets or Excel. - Data-savvy; able to spot patterns in student data and make recommendations based on it. - Passion for education, workforce development, and expanding access to tech careers. Position Title: Intake Coordinator Report to: Intake Supervisor Position Details: The intake coordinator is a self-motivated, task oriented and able to operate in a busy and fast paced environment. This position is responsible for working with the intake team and individually reviewing, processing and inputting pt referrals into our provided software. Customer service, communication and multi-tasking are a big part of this position, as you may be required to make phone calls for updates or request to patients or referral sources.
