This position will assist in the preparation of high-quality proposals and contribute to our mission of delivering exceptional services to our customers. This position is ideal for individuals looking to develop their skills in proposal management and project coordination while working in a fully remote environment. - Maintain and organize a repository of proposal materials and templates for efficiency. - Responsible for managing all documents related to the proposal, including organizing, storing, and maintaining versions of drafts, templates, and final submissions. - Ensure that all documentation is correctly formatted, named, and stored in line with the company’s proposal management system or requirements. - Coordinate team meetings, ensure key milestones are met, and manage timelines to prevent delays. - Track deadlines, schedule proposal reviews, and facilitate team communication to keep everyone on the same page. - Ensure that the proposals meet the requirements set forth in the Request for Proposal (RFP) or solicitation, including adhering to formatting guidelines, page limits, and submission requirements. - Responsible for ensuring compliance with internal policies and procedures during proposal development. - Act as a central point of contact for all team members involved in the proposal process and facilitate clear and effective communication between various departments. - Liaise with clients, subcontractors, and internal stakeholders to gather required information and ensure alignment throughout the proposal’s development. - Collaborate with cross-functional teams to gather information and inputs necessary for proposal preparation. - Participate in proposal review meetings and contribute to feedback sessions for continuous improvement. - Support the proposal submission process, ensuring deadlines are met and documents are accurately submitted. - Track the receipt of the submission and ensure confirmation is received from the client or recipient. - Play a supporting role to the Proposal Manager and proposal writers by handling administrative tasks, allowing the writers to focus on crafting the narrative and technical aspects of the proposal. - Assist in drafting, formatting, and editing proposal documents to ensure clarity and compliance with customer requirements. - Conduct research of potential customers and industry trends to inform proposal strategies. - Utilize bid boards and tools to help identify proposals and capture opportunities. - Perform other duties as assigned. - Comply with all policies and standards.
