Role Description GCC is currently offering an exciting opportunity to join our dynamic team. We are seeking a senior-level Executive Assistant and Board Liaison (EABL) who will provide high-level administrative support to the CEO and serve as the primary point of contact with the GCC Board of Directors. This position drives efficiency and organization for the CEO’s and the Board’s efforts. The successful candidate will be a proactive problem-solver, able to work independently, comfortable liaising with high-profile individuals and working with confidentiality, experienced at multi-tasking in a variety of settings and on deadline, and displaying a high degree of professionalism and positivity in all endeavors. This is a full-time, exempt/salaried, benefit-eligible, remote position requiring limited travel of approximately 2-3 days monthly to GCC’s South Rim office, as coordinated with the CEO’s schedule as appropriate. Primary Responsibilities - Executive and Administrative Support - Manage administrative tasks for the CEO, including calendar management, meeting coordination, travel planning, expense reporting, and document organization. - Develop meeting materials in advance, including agendas, briefing notes, and background research for meetings with staff, Board members, donors, and external stakeholders. - Draft and manage executive correspondence on behalf of the CEO and serve as liaison to internal departments and external partners. - Assist with planning and execution of virtual and in-person meetings and events, including fundraising and donor engagement activities in which the CEO is participating. - Manage ongoing and special projects and engage in cross-departmental efforts under the direction of the CEO and supported by other GCC executives. - Board and Governance Support - Coordinate and manage quarterly and special Board and Committee meetings, including agenda development, material collection, board book creation on Board Effect, and taking and distributing meeting minutes. - Attend all virtual and in-person board and committee meetings to record minutes. - Prepare and/or manage collection of board meeting materials, including development of meeting decks and mid-quarter progress materials. - Maintain historical records of Board and Committee proceedings through Board Effect. - Prepare and manage official Board and Committee correspondence. - Support Board governance processes, including tracking member terms, annual form collection, charters, policies, and orientation materials. - Assist with Board recruitment, onboarding, and ongoing engagement processes in coordination with the CEO, Board leadership, and Philanthropy staff. - Prepare bi-weekly updates for the board. - Strategic and Organizational Support - Act as a trusted partner to the CEO, prioritizing requests and exercising sound judgment in managing competing demands. - Manage communications directed to the CEO, assessing urgency and determining appropriate next steps. - Track organizational priorities, timelines, and deliverables to support follow-through on CEO-led initiatives. - Prepare high-quality written and visual materials, including briefing memos, talking points, and presentation decks for executives, the Board, donors, and public engagements. - Support annual planning processes and major organizational initiatives. - May recruit, interview, hire, and train junior administrative staff. - Other duties as assigned. Qualifications - At least 5 years of experience supporting a CEO or senior executive and Boards, featuring increasingly advanced administrative experience with at least 3 years in a nonprofit or mission-driven organization. - Exceptional executive-level writing, editing, and communication skills. - Experience managing complex calendars and competing priorities with minimal supervision. Preferred Qualifications, Skills, and Characteristics - Strong organizational awareness and discretion when handling confidential or sensitive matters. - Proven ability to work independently and operate with a high degree of professionalism and accountability. - Experience coordinating meetings, events, and Board processes. - Familiarity with nonprofit governance and Board best practices. - Experience partnering with Development teams on donor engagement preferred. - Proficiency with Microsoft Office and collaboration tools, including Board Effect and/or similar board-focused communication software; Raiser’s Edge, Adobe products, project management tools, and/or similar systems preferred. Role Description We are seeking a highly organized and discreet Executive Assistant to support and anticipate the needs of senior leadership within the Law and Compliance Department(s).
