Procurement Associate

• Interacts routinely with internal business stakeholders and external vendor partners to understand strategic objectives and near/long term plans • Supports execution of planned project initiatives and contract actions • Collaborates with business units to incorporate procurement initiatives into financial and operational plans • Ensures ongoing review and optimization of Category Strategies as a key enabler to business success • Supports and contributes to the Category Strategy, including supplier portfolio, capabilities, risk profiles, market trends, and areas of opportunity • Applies a strategic mindset to execute on savings/efficiency opportunities • Engages in data analysis to quantify spend forecasts and realized savings • Interacts with vendors – including negotiations, RFx events, and supplier reviews • Supports strategic recommendations on market opportunities, negotiation tactics, and points of leverage in order to deliver results • Executes tasks, creates deliverables, and applies administrative support in Jira Projects and Ironclad Contracts platforms to ensure initiatives are delivered timely, completely, and in alignment with WE processes • Reviews proposed terms and conditions pursuant to vendor engagements • Recommends contract language improvements to both business and legal terms in alignment with desired positions and outcomes • Leverages Ironclad Contract system for contract review, revisions and storage • Contributes to and is accountable for execution of project initiatives • Facilitates interaction with other internal/external stakeholders in support of desired business outcomes • Collaborates with Legal, IT-Security, Compliance, and other control groups to mitigate risk, support diligence reviews in vendor engagements
Job Requirements
- Bachelor's Degree in business or related field required
- 1-3 years experience in purchasing and/or supporting sourcing projects
- Previous exposure to multiple services and/or technology categories
- Capable of interfacing with business stakeholders, both internally and externally
- Strong verbal and written communication skills
- Strong analytical skills
- Proficient with Microsoft Office Suite or related software
- Experience with contract lifecycle management and sourcing projects workflow

• Data entry of purchase orders for component parts, outside processing services, and finished goods • Ensure all purchase orders include accurate costs, specifications, and delivery dates before submission • Maintain detailed process notes from the company ERP system on all outside processing purchase orders • Communicate purchase order changes, rejections, and delivery date updates to all relevant stakeholders • Maintain positive, professional relationships with vendors through courteous phone and email communication • Monitor vendor compliance with purchase order costs, delivery dates, and terms and conditions • Obtain multiple quotes for new purchase requests to ensure competitive pricing • Work with the General Manager to address vendor performance issues and eliminate non-compliant practices • Follow up on rejection reports and coordinate replacement of rejected materials • Support cost reduction initiatives by helping to source products at the lowest possible cost without compromising quality • Escalate any cost increases to the General Manager for approval prior to issuing purchase orders • Work to eliminate unnecessary charges such as lot fees on outside processing orders • Utilize historical pricing data appropriately while remaining vigilant about outdated costs • Conduct weekly follow-ups on late purchase orders every Friday using system-generated reports • Initiate follow-up emails to vendors regarding outstanding deliveries • Use calendar reminders and task management tools to track outstanding items • Update the ERP system promptly to reflect delivery date changes and material rejections • Keep production, planning, and other departments informed of procurement status • Develop and maintain knowledge of materials (tubing, flat bar, sheet metal, fasteners, etc.) and their applications • Take detailed notes to build expertise in vendor relationships and purchasing processes • Participate in collaborative problem-solving with the team to address challenges • Focus on root cause analysis to prevent recurring issues • Support just-in-time and Economic Order Quantity (EOQ) inventory management practices
