Position Overview: The Project Management Support Specialist provides administrative, coordination, and operational support to Project Managers to ensure projects are organized, documented, and executed efficiently. This role helps maintain project schedules, documentation, communications, and reporting while assisting project managers with day-to-day project operations. Job Duties & Responsibilities: - Assist Project Managers in planning, organizing, and tracking project activities. - Maintain project schedules, milestones, and task tracking systems. - Coordinate meetings, prepare agendas, and document meeting minutes. - Follow up on action items and ensure deadlines are being met. - Prepare and maintain project documentation, reports, and records. - Organize project files and ensure documentation is up to date. - Assist with preparing project proposals, presentations, and status reports. - Support project onboarding and administrative setup when new projects begin. - Serve as a point of coordination between Project Managers, internal teams, and external stakeholders. - Distribute project updates, reports, and documentation. - Help track communication threads and maintain records of decisions and changes. - Update project tracking tools, dashboards, and status reports. - Assist in monitoring project budgets, timelines, and deliverables. - Identify potential scheduling conflicts or delays and escalate as needed. - Help maintain project management systems and workflows. - Support the development and documentation of project processes and procedures. - Assist with quality control and document review to ensure consistency Qualifications: - Bachelor’s degree or equivalent experience in business administration, project management, or a related field. - 1–3 years of administrative, coordination, or project support experience. - Strong organizational and time-management skills. - Excellent written and verbal communication skills. - Proficiency in Microsoft Office or Google Workspace. - Ability to manage multiple tasks and priorities simultaneously. - High attention to detail and problem-solving ability.
