What We Can Achieve Together: Within TNC´s global program, Provide Food and Water, TNC’s Zero Conversion Commodities (ZCC) is a global and mature strategy with the goal of transforming the food system for soy, cattle, and palm oil, primarily but not limited to, by enabling producers in critical ecosystems of South America to meet growing demand without converting additional land for farming. We work in partnership with value chain actors to halt habitat conversion caused by commodity production in highly biodiverse and threatened biomes, including the Brazilian Amazon, the Brazilian Cerrado, the Gran Chaco of Argentina and Paraguay, and Indonesia. The ZCC Program Coordinator will provide essential support to the ZCC Strategy by ensuring that managerial and operational information for the strategy is up to date across different channels, as well as supporting administrative, contract coordination, financial, and programmatic activities. This role involves creating and maintaining data and strategy dashboards, including staffing lists, org charts, mailing lists, general presentations about the strategy, such as onboarding, progress, and updates of the strategy for all-team calls, analyzing results of the annual collaboration survey, preparing a presentation to report results, and archiving and organizing information. They will also support contracting and procurement processes, manage payments and invoicing, and assist some core leadership team members of the strategy with scheduling meetings and administrative tasks. They will contribute to event planning, such as managing logistics and/or facilitating meetings. They will liaise with the Certified Contracts Specialist assigned to the projects and the project managers, facilitating the contracts workflow by solving problems and effectively communicating and distributing information. They will also be appointed as “project coordinator” for the projects under the strategy and will support the organization and delivery of in-person and virtual meetings, including logistics arrangements. This is a full-time remote position, preferably for candidates located in Brazil, where most of the work is deployed, and the team is based. Fluency in Portuguese and English is highly desirable. We’re Looking for You: The ZCC Program Coordinator will play a key role in maintaining efficient administrative processes, organizing information in a timely manner, and contributing to the overall success of the Strategy. The Program Coordinator position directly reports to the ZCC Associate Strategy Manager and will also work closely with core leadership within the strategy, as well as interact with a large, multidisciplinary, multi-geography team spread across (but not limited to) Brazil, Argentina, the U.S., the U.K., and Asia Pacific. This position will work approximately 50% of the time on the general programmatic, financial, contracts, and payments coordination and administrative aspects of the strategy, and the remaining 50% will support core leadership within the strategy, primarily on scheduling meetings and other administrative tasks. RESPONSIBILITIES & SCOPE Programmatic for the Strategy: - Assist in preparing reports, presentations, and other materials to support decision-making, socialization of information across teams, and engagement of the team. - Maintain and update ZCC dashboards and different lists to track strategy performance, information about the strategy, including staffing. - Coordinate payments and invoicing - Coordinate and facilitate the contract workflow, liaising with contracts specialists and project managers, helping in solving problems and clarifying questions - Maintain organized records, file storage, and archiving systems for program and financial documents. - Ensure alignment with SOPs and contribute to continuous improvement of internal processes. - Provide logistical and administrative support for events, including handling payments, invoices, and documentation. - Regularly engage with ZCC colleagues across many geographies and business units - Moderate the strategy all-team calls and knowledge sessions promoted by the strategy - Requires the ability to travel occasionally, both domestically and internationally. Support to the core leadership team: - Managing Outlook calendars and meeting scheduling for three executive directors and supporting the associate director of the strategy in scheduling ZCC meetings. - Provide logistical and administrative support for events, including handling payments, invoices, and documentation. - Support travel arrangements and other administrative tasks What You’ll Bring: - MS or BS degree and certification in finance, accounting, business administration, or related field, and at least 3 years of professional experience in finance, accounting, data analytics, and/or project management, or equivalent combination. - Experience in moderating webinars and calls. - Fluent in English and Portuguese (both oral and written). - Experience in administrative tasks, including scheduling and travel arrangements. - Experience in planning and organizing events, including the logistics of the event - Experience in data management and data analytics - Ability to attend multiple dotted-line supervision in different locations - Process-oriented individuals and organized with a passion for maintaining information up to date (staffing lists, org charts, mailing lists), driving continuous improvement across team workflow and systems. - Creative person with experience in creating PowerPoint presentations - Attention to detail & structured thinking. - Master Outlook functions - Understanding of invoicing and payments - A proactive team player working in a collaborative, multi-cultural, and interdisciplinary environment. - Experience with software such as PowerPoint, Word, Excel, cloud and web-based tools including SharePoint, MS Teams, Zoom, Mural, Smartsheet. Desired Qualifications - Multi-cultural or cross-cultural experience is appreciated. - User of Smartsheet - Self-starter with the ability to generate work plans with limited support - Fluency in languages other than English and Portuguese (Spanish) - Strong team player who can build relationships and work collaboratively across the organization, including with senior management, and with Conservancy partners. Responsibilities Customer Success & Stakeholder Management - Serve as the primary program-level point of contact for customers, ensuring alignment on goals, scope, timelines, and deliverables - Build trusted relationships with customers through clear, proactive, and scientifically accurate communication - Translate customer needs into actionable project plans and internal requirements Program & Timeline Management - Develop, maintain, and oversee detailed project and program timelines across multiple concurrent initiatives - Coordinate cross-functional teams (e.g., scientific, technical, operations, commercial) to ensure milestones are met - Schedule, organize, and lead meetings related to execution against project milestones - Track progress against timelines, budgets, and scope, and adjust plans as needed Reporting & Documentation - Generate clear, accurate, and timely reports for customers and internal stakeholders, including status updates, milestone summaries, and performance metrics - Create and maintain program documentation, including project plans, meeting notes, and decision logs - Ensure reporting meets both scientific rigor and customer-friendly communication standards Scientific Writing & Communication - Author and review scientific or technical documents such as study summaries, protocols, grants, or customer-facing technical reports - Synthesize complex scientific data into concise, well-structured written materials for both technical and non-technical audiences - Ensure consistency, clarity, and accuracy across all written deliverable Process Improvement - Contribute to the development and improvement of program management and customer success processes - Identify opportunities to improve reporting, documentation, and timeline management practices Required Qualifications - Bachelor’s degree in a scientific, technical, or related field - Relevant experience in program management, project management, customer success, or a related role - Demonstrated experience managing complex project timelines and cross-functional programs - Strong report generation skills, with experience producing customer-facing and internal reports - Proven scientific or technical writing experience Preferred Qualifications - Master’s degree in a scientific, technical, or related field - Experience in life sciences, biotech, healthcare, or a scientific services environment - Familiarity with project management tools (e.g., Asana, Jira, Smartsheet, MS Project) - Experience working in customer-facing roles within regulated or technical industries Compensation, Benefits, and Diversity Commitment Our compensation structure includes a base and semi-annual bonus.
