About this role The People Operations Coordinator plays a key role in creating a smooth, compliant, and people-centered employee experience, with primary ownership of onboarding and ongoing employee lifecycle support. This role partners closely with hiring managers, IT, and the People team to ensure accurate systems setup, thoughtful onboarding, and responsive employee support. The coordinator also contributes to culture, engagement, and company-wide communications while helping Boulder maintain strong compliance and data integrity. What you’ll do: New Hire Onboarding & Orientation (40%) - Own the end-to-end new hire process from offer acceptance through the first 90 days - Administer offer letters, employment agreements, CIAA, consent/release forms - Conduct background checks and reference checks - Create and manage Notion onboarding checklists - Set up Boulder platform accounts - Partner with managers to prepare for new hire onboarding - Facilitate new hire orientations Employee Lifecycle & Systems Administration (20%) - Support employee lifecycle changes within Rippling, Lattice, and employee files - Submit and track hardware requests - Partner with the People team to maintain accurate and up-to-date data across all HR systems - Support documentation administration for 30/60/90-day new hire reviews Compliance & Personnel File Management (15%) - Complete and verify employee I-9s - Maintain compliant and accurate personnel files - Serve as primary point of contact for external employment verifications Employee & Manager Support (15%) - Provide support for employee inquiries and general People Ops questions - Serve as a responsive and trusted People Operations resource for employees and managers - Support a positive and consistent employee experience across the organization Culture, Engagement & People Team Initiatives (10%) - Collaborate with the People team on culture and engagement initiatives to help make Boulder a great place to work - Support monthly All Hands content from the People team (e.g., new hire introductions, anniversaries, employee changes) - Contribute to cross-functional partnerships that strengthen connection, communication, and engagement What you bring - 1+ years of experience in HR, recruitment, People Operations, office coordination, or a related administrative role - Experience with G-Suite and Slack - Ability to effectively prioritize, organize, and manage multiple responsibilities in a fast-paced environment - Strong attention to detail with a proactive and solutions-oriented mindset - Demonstrated ability to handle confidential and sensitive information with discretion and professionalism - Clear, empathetic written and verbal communication skills - Collaborative and team-oriented; able to partner effectively across teams while delivering a high level of service to employees and managers - Demonstrated problem-solving and analytical skills appropriate to the role - High ethical standards and sound judgment - Ability to maintain composure and adaptability under changing priorities - Consistently demonstrates Boulder’s core values Work environment - This is a fully remote role but we are currently only hiring candidates located in the following states: - Changes to working location require pre-approval from People Operations and are not guaranteed. - Applicants must be authorized to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time. - Office Requirements: Boulder teammates working with sensitive information must have a dedicated, private workspace with a lockable door and high-speed internet to maintain a secure, distraction-free environment, ensuring compliance with HIPAA and confidentiality standards - Boulder Care employees are free to use our river-front HQ located in Portland, OR whenever they would like Expected hours and schedule This is a full-time, remote position with an expected schedule of 40 hours per week, Monday through Friday, during standard business hours. We are ideally seeking someone who can be available during core collaboration hours between 7:00/8:00 a.m. and 4:00/5:00 p.m. Pacific Time. Candidates located in the Pacific or Mountain time zones are preferred to support cross-functional alignment, though other U.S. time zones will be considered. Training Schedule: During the first three weeks of onboarding, the schedule will be: - 8:00 a.m. – 4:30 p.m. PT (for candidates outside PT) - 8:30 a.m. – 5:00 p.m. PT (for candidates in PT) Hiring process Note: As part of our hiring process, all final candidates will be required to undergo background checks and provide professional references.
