Role Description This position will provide administrative support to various executives within the Space Segment and will report to the Chief of Staff. - Manage complex calendars for executives taking meetings across the globe - Research and book flights, lodging, car rentals, and other necessities for CONUS/OCONUS travel - Manage travel booking changes while minimizing financial impacts - Track and add necessary documentation in reservations like passports, rewards numbers, and TSA Pre-Check/Global Entry numbers - Ensure travel needs are met within constraints of budget, timing, and policy - Manage domestic and foreign contact information for executives - Track and organize tasks to ensure timely and compliant completion for executives - Complete, submit, and track approvals of expense reports for executives - Maintain files and records for the Space Segment, including internal and external reports, presentations, meeting notes, action trackers, and conference meeting playbooks - Create and manage presentations for conference and event appearances, speaking engagements, BoD meetings, internal town halls, etc. - Pro-actively track and communicate changes, anticipate needs due to changes - Regular follow-up needed - Other administrative tasks, as assigned Qualifications - Bachelor's degree with 5+ years of experience as an Executive Assistant, or in lieu of degree, 10+ years in an Executive Assistant position working with leadership and executive levels in an organization - Demonstrated expertise in booking CONUS/OCONUS travel - Recent experience performing administrative tasks in a remote environment - Experience handling confidential and other sensitive reports and documents - Strong experience with Microsoft Office applications including Word, Excel, PowerPoint, Outlook and Teams Meeting - Superb problem-solving, organizational, and multitasking skills with attention to details - Discretion and ability to maintain the confidentiality of communications and documents - US Citizenship Requirements - Self-starter able to prioritize their tasks based on need - Self-disciplined - Must be pro-active, good organizer and planner, strong follow-up skills - Highly motivated, enthusiastic, creative, and independent - Ideally, experience with expense reporting software - Excellent presentation and communication skills, both written and verbal - A high level of interpersonal skills and ability to communicate diplomatically with foreign contacts Benefits We offer a highly competitive benefits package along with a commitment to our core values of Integrity, Innovation, Impact, Inclusion, and Excellence. Job Requirements
- Bachelor's degree with 5+ years of experience as an Executive Assistant, or in lieu of degree, 10+ years in an Executive Assistant position working with leadership and executive levels in an organization
- Demonstrated expertise in booking CONUS/OCONUS travel
- Recent experience performing administrative tasks in a remote environment
- Experience handling confidential and other sensitive reports and documents
