Role Description The Ed-Fi Implementation Consultant is an independent contractor engaged to lead and oversee the implementation of Williamsburg Learning's Ed-Fi sync system, which synchronizes Student Information System (SIS) data with state education agencies. Working under the sponsorship of the Engineering Lead, the consultant sets the technical architecture and certification strategy, provides day-to-day technical direction to the full-stack engineer, and serves as WL's expert liaison to state agencies. The engagement emphasizes delivering a reusable, well-documented system and transferring knowledge to WL's internal team for long-term ownership. Essential Duties (Top 5 Roles) - Implementation Oversight & Technical Direction - Own end-to-end delivery of WL’s Ed-Fi sync system (Core engine plus state layers), setting architecture and sequencing across the rollout phases. - Provide day-to-day technical direction to the full-stack engineer — reviewing designs, data mappings, and implementation decisions. - Coordinate with the Engineering Lead and IT team on priorities, dependencies, and timelines. - Ed-Fi Architecture & Standards Governance - Guide the design of the state-agnostic Core Sync Service so it remains reusable across Arizona, Texas, and future states. - Validate resource-mapping coverage against Ed-Fi SIS v5 and state requirements; identify and prioritize SIS data gaps. - Define change-detection, dependency-ordering, error-handling, and retry strategies consistent with Ed-Fi best practices. - State Certification Strategy & Agency Liaison - Lead the AzEDS vendor certification effort with the Arizona Department of Education, from pre-certification scoping through live certification sessions. - Own the certification readiness checklist (resource mappers, Identity API, descriptor mappings, attendance aggregation, error handling). - Establish the roadmap for subsequent states (e.g., Texas TSDS via the Ed-Fi Alliance) and advise on scope, effort, and sequencing. - Data Mapping, Validation & Compliance Advisory - Oversee descriptor namespace mapping and state-specific extensions (e.g., AZ membership FTE, instructional minutes, the 915 multi-year process). - Advise on integrity-rule pre-validation and resolution of state validation errors (e.g., AzEDS integrity rules, TSDS Level 1–3 validations). - Ensure submissions meet state reporting requirements (ADM, PEIMS) and that data handling and audit practices protect student PII. - Risk Management, Documentation & Knowledge Transfer - Identify project risks (scope, timeline, agency dependencies) and recommend mitigations. - Ensure architecture decisions, data mappings, and operational runbooks are documented for long-term WL ownership. - Transfer knowledge to WL’s internal engineering team so the system remains maintainable after the engagement ends. Minimum Qualifications - Demonstrated, hands-on Ed-Fi expertise — prior delivery of Ed-Fi ODS/API integrations and state-reporting systems. - Direct experience achieving state certification (AzEDS vendor certification and/or Ed-Fi Alliance SIS certification; TSDS experience a plus). - Deep knowledge of the Ed-Fi Data Standard — resources, natural keys, descriptors, dependency ordering, and OAuth 2.0 client credentials. - Strong K-12 / SIS domain knowledge (students, enrollment, attendance, grades, transcripts, programs, discipline). - Technical leadership — able to set architecture and direct an engineer’s work across PHP, MySQL, REST, and queue-based systems. - Experience working directly with state education agencies (ADE, TEA, or equivalents). - Excellent communication and documentation skills, with a track record of transferring knowledge to internal teams. Strongly Preferred - Multi-state Ed-Fi rollouts, validation/integrity-rule resolution, and compliance-driven software delivery. Position Summary Note: This position is a dual role in which you would work from approximately April through August as an Enrollment Advisor, and from September through March as an MTSS Specialist. The Enrollment Advisor is a vital member of the Admissions Department and the first point of contact for prospective families at the Williamsburg Family of Schools. Successful Enrollment Advisors use a unique set of sales, communication, writing, and organizational skills to help families determine if our program is the right fit and start the school year on a high note. The MTSS Specialist plays a crucial role within the Academics Department, providing extra layers of support to students in the Williamsburg program. A successful MTSS Specialist uses strong communication, problem-solving, and organizational skills to collaborate closely with families and mentors and build tailored plans to help students succeed. Essential Duties As an Enrollment Advisor: - Conduct Enrollment Consultations with prospective parents, explain the benefits of our program, answer questions, and guide parents through our enrollment options. - Assist parents with course selection, provide essential onboarding resources, and address pre-semester questions to help new students have a strong start. - Keep track of parent information and interactions in HubSpot, set and complete follow-up tasks, and report on performance metrics. - Stay informed about the Williamsburg curriculum, policies, and other updates to provide accurate, insightful guidance to families. - Document new information and procedures in our team knowledge base, helping your teammates stay up-to-date. - Share feedback from parents, collaborate with colleagues, and recommend process improvements to continually refine the enrollment process. - Stay flexible and ready to adapt to evolving needs and priorities. As an MTSS Specialist: Support students who need extra help by creating personalized intervention plans through collaboration with families, mentors, and colleagues. Track and keep parents and mentors updated on student progress and share insights when a student may need additional services. Run student support labs by inviting at-risk students, keeping track of attendance and assignments, and offering tips to help them stay on track. Help mentors put effective classroom support strategies in place and attend training to stay up-to-date on implementation tips. Coach students through academic challenges by assisting with assignments, providing tutoring in specific subjects, and teaching time management and study skills. Position Summary Williamsburg Learning is hiring one full-time Middle School Instructional Specialist and one full-time High School Instructional Specialist to support mentors in strengthening classroom instruction and improving student achievement through collaboration, coaching, and professional development. These roles will work closely with educators to analyze data, implement effective instructional strategies, and integrate curriculum standards and technology into daily instruction. The instructional specialists will model best practices, provide meaningful mentor feedback, and support mentors in creating engaging learning environments that meet the diverse needs of students. In addition to their coaching responsibilities, each specialist will teach one section of a middle school or high school course. The overall goal of these positions is to build mentor capacity and promote continuous instructional improvement across Williamsburg Learning. ESSENTIAL DUTIES 1. Support Mentors Through Strategic Coaching Cycles - Support new and seasoned mentors through structured Coaching Cycles aligned to the WL Cycles framework. - Track new mentor onboarding progress through the 4 to 6-week structured sequence, maintaining documentation of milestones, goals, and data checkpoints. - Work with mentors who need additional support — new and experienced — to identify areas for growth, set instructional goals, and provide targeted coaching through completion. - Conduct regular class observations using the WL Student Success Rubric as the observational lens; provide structured pre- and post-observation coaching conversations. - Maintain accurate coaching logs and progress documentation for each assigned mentor cohort. 2. Identify and Support the Use of Innovative, Research-Driven Instructional Strategies - Stay current on effective teaching methods, technologies, and learning science (Bjork, Hattie, Yeager); translate research into actionable coaching for mentors. - Coach mentors in strategies that increase student talk time with a particular focus on Socratic questioning, discussion facilitation, and the Genuine Question framework. - Introduce and support the integration of AI tools that strengthen — rather than replace — mentor instructional judgment. - Model instructional best practices in live sessions, co-teaching opportunities, and PD facilitation. - Support the implementation and ongoing use of the Socratic Method across assigned mentor cohorts. 3. Design and Facilitate Meaningful Professional Development - Design and present targeted professional development sessions for the Friday PD block, grounded in current inquiry cycle data, Zoom analytics, and mentor needs. - Build PD session agendas, materials, and artifacts that produce measurable change - Facilitate WL Cycle Kickoff Fridays and Implementation Fridays (evidence share, mid-cycle adjustments, co-planning) for assigned mentor cohorts. - Collaborate with the Director of Instruction & Assessment to align PD design with the Student Success Rubric and the Six Mentor Practices framework. 4. Work alongside educators to utilize available assessments and strengthen mentors’ assessment literacy. - Act as a thought partner to mentors in identifying student success indicators, designing evidence of learning, and analyzing Zoom talk-time data to drive instructional decisions. - Work with mentors to develop better assessments, interpret student performance data, and adjust teaching practice accordingly — based on evidence, not intuition. 5. Support IEP/504/MTSS Accommodation Implementation and Mentor Readiness - Generate and maintain per-student accommodation summaries (IEP, 504, ELL, MTSS) for assigned mentor cohort; ensure mentors are briefed before each session. - Ensure pre-class scaffolds are deployed for students with support plans. - Monitor whether accommodation plans are being implemented with fidelity; flag concerns to the Director of Instruction & Assessment. - Stay current on special education compliance requirements for assigned grade span (MS or HS) and maintain documentation in accordance with WL policy. Essential Duties - Course Maintenance, Development, & Planning - Create new courses in collaboration with mentors and departments - Lead course refresh and overhaul projects for existing curriculum - Develop instructional media, assessments, competency frameworks, curriculum materials (templates, rubrics, booklists) aligned with course outcomes - Update and maintain course content and course materials based on curriculum requirements and emerging pedagogical best practices - Develop and maintain course paths and graduation plans for each school partnership - Manage student orientation course initiatives and develop onboarding content that introduces students to curriculum structures, academic expectations, and learning resources - Standards & Compliance Management - Manage curriculum alignment to state testing standards and map course content to graduation requirements across all partnerships - Maintain standards correlation and mapping projects for multiple states - Review and verify that all curriculum content accurately reflects state standards, competencies, and graduation requirements - Oversee ongoing documentation of state-specific homeschool and graduation requirements - Ensure Universal Design for Learning (UDL) principles in all curriculum materials and course structure - Identify, create, and track curriculum content requiring custodial consent, prepare and distribute waiver documentation, and maintain records of permissions for student participation - Content Quality Assurance - Validate accuracy and currency of all curriculum materials through systematic review processes - Manage TWC documentation system including curriculum materials, resource catalogs, and alignments - Implement and continuously improve quality control processes for all curriculum content - Evaluate curriculum effectiveness using data analytics and stakeholder feedback - Operational Support - Organize and execute semester course shell setup and publishing processes - Ensure content alignment with academic calendar requirements - Identify opportunities to streamline curriculum development workflows and improve efficiency - Technology Leadership & Innovation - Lead cross-functional teams in evaluating, piloting, and implementing new educational technologies as needed - Lead AI integration initiatives for curriculum development, content creation, and instructional enhancement, including piloting new AI tools, developing implementation protocols, and managing cross-functional project teams - Provide training and change management support for technology adoption across departments - Research and recommend emerging tools to improve curriculum quality and operational efficiency Minimum Qualifications - Detail-oriented and organized individual with the ability to manage multiple curriculum projects simultaneously - Strong content expertise, including a deep understanding of pedagogical approaches and curriculum design - Analytical skills for evaluating and improving existing curriculum based on data and feedback - Clear written and verbal communication skills for collaborating with diverse stakeholders - Project management experience in managing curriculum development timelines and deliverables - Strong understanding of academic standards and alignment processes Required Qualifications - Bachelor's degree in Education, Curriculum and Instruction, or related field - 3-5 years of curriculum development experience - Experience with standards-based curriculum design and Classical Education models - Familiarity with state education standards and compliance requirements - Demonstrated expertise in Canvas LMS course design, setup, and management, including homepage customization, course shell publishing, and ongoing maintenance - Strong organizational, project management, and problem-solving skills with the ability to manage multiple projects and meet critical deadlines Preferred Qualifications - Master's degree in Curriculum and Instruction, Educational Leadership, or related field - Familiarity with homeschool and alternative education models - Background in assessment design and evaluation - Experience working in secondary education (middle and high school) and/or online, hybrid, homeschool, or alternative learning models - Knowledge of multi-state educational partnerships and compliance considerations Technical Skills - Proficiency in Google Suite (Docs, Sheets, Slides, Drive) - Proficiency with Canvas LMS (required; expert-level preferred) - Understanding of instructional design principles and frameworks - Accessibility compliance tools and WCAG standards knowledge - AI-powered educational tools and applications for curriculum development - Project management and collaboration platforms (Asana, Trello, Slack, or similar) - Basic graphic design and multimedia creation skills - Content authoring tools (Articulate, Camtasia, H5P, or comparable software) Physical and Mental Requirements / Working Conditions - Schedule: 40 hours per week, Monday through Friday - Participating in 2-3 weekly online team meetings, with additional meetings as needed - Attending half-day or day-long, online quarterly team meetings four times per year Required Equipment (You Provide) - High-speed internet (we recommend 5 Mbps or more) Compensation & Logistics - Compensation: $90,000 / year - Employment Type: Full-time, Exempt

Qualifications - Must be licensed in their area of expertise, if required. - Experience in the WL curriculum and have mentored at WL for at least one year in their program area. - Must teach at least one live section in the designated program.
