Virtual Construction Assistants

• Make outbound calls to prospective clients in the construction space • Qualify leads and identify decision-makers • Deliver a compelling opening pitch and handle early objections • Book qualified leads for the sales team • Log call outcomes and lead status accurately in the CRM (HubSpot) • Hit daily/weekly call and appointment-setting targets

• Support the commercial estimating process by preparing accurate quantity takeoffs. • Perform back-end pricing by sourcing materials and equipment for bids. • Obtain current pricing and product availability from suppliers. • Review project plans to identify required materials and quantities. • Assist in developing and maintaining a material and cost database. • Collaborate with the estimating team to ensure bids are accurate and complete. • Maintain organized estimating records and support improvement of estimating processes.

• Support the commercial estimating process by preparing accurate quantity takeoffs. • Perform back-end pricing by sourcing materials and project components from suppliers. • Contact suppliers to obtain current pricing, product availability, and quotations. • Review project plans to identify required materials, labor, and quantities for estimates. • Assist in developing, maintaining, and updating a material and cost database. • Collaborate with the estimating team to ensure bids are accurate and submitted on time. • Maintain organized estimating records and support continuous improvement of estimating processes.

• Provide pre-construction support • Coordinate bids and managing document control • Create bid scope sheet • Organize RFPs • Put together submittal sheets and finish schedules • Contact suppliers and subcontractors for pricing via phone or email • Verify subcontractor quotes against takeoff quantities • Send out proposals

• Perform accurate quantity takeoffs from construction drawings and specifications • Assist in compiling and analyzing cost estimates for projects • Collaborate with estimators and project managers to ensure comprehensive bid proposals • Utilize on-screen takeoff software

• Read and interpret mechanical/HVAC construction drawings and blueprints • Perform detailed quantity takeoffs for sheet metal, ductwork, and associated piping systems • Capture granular scope items including air outlets, fire/smoke dampers, and other mechanical components • Produce accurate material quantities to support estimating and bidding efforts • Manage takeoffs across multiple projects simultaneously while maintaining consistency and completeness • Ensure no gaps or missed items in scope coverage

• Manage and maintain projects within Buildertrend • Generate invoices, track payments, and prepare financial reports • Perform accurate receipt management and data entry • Ensure proper synchronization and integration between Buildertrend and QuickBooks • Handle accounts payable and accounts receivable tasks • Reconcile bank and credit card statements • Assist in month-end closing processes • Maintain organized financial records and documentation • Coordinate with the client regarding project costs, budgets, and updates • Identify discrepancies and resolve issues proactively

• Manage the bid lifecycle, from opportunity tracking to submission • Coordinate and oversee the proposal development process • Review and interpret construction drawings and blueprints • Perform accurate quantity takeoffs using appropriate tools • Manage and streamline the takeoff process across multiple projects • Ensure all project scopes are complete, with no gaps or missed items • Collaborate with internal teams to gather required inputs for bids and proposals • Maintain organized documentation and tracking of bids, estimates, and submissions

• Assist the Project Manager with Procore (Procore knowledge required) • Assist in the planning and coordination of construction projects from start to finish • Prepare and monitor project schedules, budgets, and resource • Assist in obtaining necessary permits and licenses • Prepare and present progress and budget reports to senior management • Bid coordination/Estimating support (finding subcontractors, requesting and following up on bids, bid qualification, bid management) • Maintain project documentation and records

• Perform detailed takeoffs for storefront and window packages • Analyze architectural drawings, specifications, and bid documents • Prepare material quantity breakdowns and assist in cost estimation • Coordinate with internal teams and clients to clarify scope • Ensure accuracy and completeness of all estimates
