• Research and process utility invoices that arrive outside normal processing timelines. • Investigate and resolve urgent past-due notices and high-priority payment issues for accounts that may be at risk of service interruption or shutoff. • Analyze account and invoice data to determine whether emergency payment action is required. • Utilize internal TEOCO systems to document payment activities and maintain accurate financial governance records. • Access and use client-specific systems and portals to gather supporting data for operational and payment-related decisions. • Perform vendor and supplier outreach to obtain invoice details, payment status, and issue resolution updates. • Collaborate closely with internal audit, finance, and operations teams to resolve exceptions and ensure timely processing. • Conduct root cause analysis for payment delays or operational incidents and contribute to continuous process improvement initiatives. • Maintain accurate records, audit trails, and supporting documentation in accordance with established procedures.

• Process utility invoices within the Cost Management system (BillTrak), ensuring accuracy and alignment with client requirements • Monitor and manage multiple workflow states, including Priority Process, Balance Forward Review, and Credit Balance workflows • Complete invoice processing within the same business day to mitigate risk of service disruption • Review supplier portal balances and identify discrepancies requiring follow-up • Investigate and resolve invoice discrepancies, billing errors, and account variances • Coordinate with external suppliers and internal stakeholders to obtain necessary information and drive resolution • Initiate, manage, and reconcile utility disputes and re-bills • Maintain ownership of disputes through resolution, with a target resolution timeframe of 90 days • Track and document daily status updates within the company’s dispute management system • Communicate effectively with internal teams and external partners • Engage in both asynchronous and real-time communication methods • Maintain accurate and up-to-date records across workflow and dispute tracking systems • Perform special projects and reporting/analysis as assigned • Provide support across Managed Services clients as business needs arise • Serve as backup support for team members on invoice processing and related workflows
Telecom Reconciliation Analyst – Night Shift

• Own the end-to-end resolution of billing discrepancies by electronically filing and tracking disputes through their entire lifecycle for assigned vendors. • Serve as a proactive liaison between external vendors and internal auditors, facilitating clear communication to expedite solutions. • Maintain comprehensive client and vendor reporting. • Conduct targeted research into complex billing issues to support management’s strategic goals. • Play an integral role in efforts to meet both client and internal metrics/goals. • Develop and maintain an escalation list of contacts for assigned vendors. • Obtain or maintain portal IDs for vendors that require interaction through portals. • Understand the nuances associated with each vendor portal and how to navigate within them. • Run or provide support to management on vendor calls. • Proactively work to understand major dispute issues associated with assigned vendors. • Execute BOTs that automate processes and support further automation as opportunities arise.

• Utility Payment Evaluation: Research and, if necessary, make payment on urgent past due notices and high priority issues for any account that could be in jeopardy of service shut off. Utilize internal TEOCO systems to document payment activity to ensure accurate financial governance. Utilize specific client systems to gather data that will support decision making. Analyze collected data to determine if emergency payment is required. Candidate will conduct Vendor/Supplier outreach, as necessary, plus undertake collaboration with internal teams. Handle root cause analysis and incorporate lessons learned from past incidents. • Functional Management: Function as a back-up to management when current manager is out or not available for certain time periods. Provide mentorship to other team members. Assist with documentation of processes and training of new employees as needed. • Become a SME in TEOCO, client, and payment partner systems, include querying tools. Demonstrate solid Excel skills. • Complete reporting and analysis as directed by management: Weekly Bank Reconciliation Report; Weekly Credit Card Reimbursement Reconciliation; Assign and Monitor the monthly Multiple 911 Report; Weekly Aging EFT Payment Report; Accrual Report Distribution. • Successfully interface with payment partner (tickets, queries, hotline, reporting, recurring calls, escalation issues) as needed.

• Set up 500–1,000 new utility billing accounts (BANs) per month within TEOCO’s Bill Trak system • Accurately populate required account data in accordance with established Operations Guides • Validate billed site information associated with each new billing account • Collaborate with multiple stakeholders, including client contacts and vendors, to complete account setup • Conduct periodic audits of existing BANs to ensure accuracy and completeness of: • Maintain data integrity and ensure timely completion of assigned tasks • Review reports and do quality assurance checks on current Billing Accounts to ensure validity.
