• Manage the full lifecycle of attorney and client rate administration, including rate setup, updates, approvals, audits, and implementation. • Review, validate, and maintain billing rates in accordance with client engagement terms, outside counsel guidelines, and firm policies. • Analyze rate requests and identify discrepancies, conflicts, or compliance concerns prior to implementation. • Maintain and update rate information within Aderant, Intapp, and other firm systems. • Utilize Expert Rates to research, benchmark, and validate attorney rate structures. • Partner with attorneys, billing teams, finance, and business operations to ensure accurate rate application across matters and clients. • Support e-billing requirements by ensuring rates align with client guidelines and electronic billing platform requirements. • Generate and analyze reports using SSRS (SQL Server Reporting Services) and other reporting tools to monitor rate accuracy, trends, and exceptions. • Perform regular audits and reconciliations of rate data to ensure consistency across systems. • Create and maintain documentation of rate processes, approvals, and policy compliance. • Assist with special projects related to pricing, billing operations, and financial reporting.
• Own the lifecycle of firm applications, including configuration, upgrades, maintenance, and optimization • Partner with stakeholders to design and improve workflows and system processes that drive efficiency across departments • Provide Tier 3 support for application issues, integrations, and data-related challenges • Monitor and support integrations across systems (e.g., DMS, O365, time & billing, practice management tools) • Administer user access, roles, and permissions in alignment with firm security standards • Create and maintain clear technical documentation, user guides, and knowledge base materials • Develop and deliver training programs tailored to varying user skill levels and departments • Collaborate with vendors and internal teams to resolve issues and implement enhancements • Support audits, security reviews, and change management processes
• Design and produce social media graphics and captions for attorneys and stakeholders, ensuring alignment with firm branding • Support scheduling, publishing, and engagement across the firm’s social media platforms • Coordinate firm sponsorships and memberships, including tracking deliverables and monitoring event participation • Assist with planning and executing firm-hosted and external marketing and business development events • Create and update PowerPoint presentations and other marketing collateral • Generate and maintain monthly analytics and performance reports for marketing campaigns • Track and manage inbound inquiries through website and digital platforms, including monitoring conversion activity • Monitor online reviews, respond or escalate as appropriate, and maintain accurate records • Maintain and update firm content, including attorney bios and internal systems (e.g., Monday.com) • Provide additional marketing and administrative support as needed
• Manage billing for assigned attorneys and clients, including pre-bill distribution, edits, review, finalization, and invoice delivery • Collaborate with attorneys to resolve billing issues and ensure accuracy • Respond to billing requests from attorneys and clients promptly and professionally • Prepare billing reports and conduct analysis as needed • Communicate effectively with all levels of the firm, including attorneys, leadership, and administrative staff • Proactively identify, troubleshoot, and resolve billing discrepancies, escalating when necessary • Support continuous improvement of billing processes and workflows • Perform additional duties as assigned
Offit Kurman, a growing Am Law 200 firm, is seeking a detail-oriented and proactive Accounts Receivable Specialist to support the firm’s collections and financial operations during West Coast office hours. This role plays a critical part in maintaining healthy cash flow by managing aged receivables, resolving discrepancies, and partnering with attorneys and internal teams. The ideal candidate thrives in a fast-paced law firm environment, is comfortable managing a high volume of matters, and brings both precision and professionalism to client interactions. Responsibilities: - Conduct daily outreach to clients (business and individual) to collect outstanding balances - Draft and send professional collection correspondence - Maintain accurate records of collection activity, payment plans, and client communications - Monitor and report on aged receivables to leadership - Partner with attorneys and internal teams to resolve billing and collection issues - Assist in resolving unapplied funds and account discrepancies - Ensure timely, professional communication with clients to support payment resolution - Support additional accounting and AR-related functions as needed Qualifications: - Bachelor’s degree in Accounting, Finance, or related field preferred - 3+ years of accounts receivable and/or collections experience - Prior experience in a fast-paced law firm environment required - Proficiency in Microsoft Office (Excel, Word, Outlook) - Experience with Aderant, StarCollect, and ARCS (or similar accounting/billing systems) required - Ability to quickly learn and navigate multiple financial systems This role is fully remote, with the understanding that the applicant resides in one of the following locations: CA, CO, CT, DC, DE, FL, GA, IL, KS, KY, LA, MD, MI, NH, NJ, NY, NC, OH, PA, SC, TN, TX, UT, VA, WV Apply now for consideration.
