• We're looking for our senior engineering and product leader who will take MindFriend safely to launch and build the platform, and the team, that come after. • MindFriend is a mental-health marketplace connecting people with verified, licensed clinicians for online therapy: search, booking, payments, and live video, audio and chat sessions in one place. • The platform is built and largely working, with a capable lead developer and a team. • We're now bringing in the senior leader who will set the engineering bar, decide when we're ready to launch, and grow both the platform and the team from there with a level of ownership only the earliest team members ever get. • This role carries more weight than most engineering jobs. We handle sensitive health data and host live therapy sessions, so reliability and security aren't features they are the trust the entire category depends on. • You'll lead a small team and a freelance bench but you'll lead by doing, not just directing.

**About the Role** • This role combines elements of a Founder’s Associate, Executive Assistant, Chief of Staff, AI Automation Specialist, and Operations Assistant. • MindFriend is an online market platform for therapist, looking for a highly capable, practical, and AI-native assistant to work directly with the founder. • This is a hands-on, trusted role for someone who can move between executive support, operations, AI automation, bookkeeping coordination, research, and day-to-day problem solving. • We are looking for a rounded, seasoned person who can help the founder save time, stay organized, automate workflows, and keep the business moving forward.

• Use AI for deep research across legal, HR, technical, and operational topics • Build and maintain AI workflows and lightweight internal agents • Identify repetitive work and automate it wherever possible • Keep bookkeeping organised using AI tools (invoices, expenses, receipts, reconciliation support) • Track spend and produce simple financial summaries • Liaise with accountants as needed • Research legal and compliance topics using AI and summarise findings clearly • Organise contracts, policies, and key documentation • Flag risks early and escalate to professionals when required • Manage calendar, inbox, scheduling, travel, and follow-ups • Prepare agendas, notes, and action tracking • Act as a gatekeeper and protect founder time • Run ad-hoc projects and day-to-day operations end to end

• We're a mental health tech platform connecting licensed psychologists with people who need support and educating thousands through our social media content. • We're on a mission, we move fast, and we need a Founder's Associate, who is working closely with the founders and who can operate at the intersection of law, ops, and AI. • This role is high-ownership. This role is not for everyone.

• Managing the founder’s calendar, meetings, scheduling, and travel arrangements • Organising priorities and ensuring deadlines are met • Managing inbox communications and responding on behalf of the founder and company daily • Preparing documents, presentations, meeting notes, and follow-ups • Improving internal workflows and identifying inefficiencies • Building systems and processes that help the business scale • Coordinating with external partners, freelancers, and internal team members • Supporting operational projects across multiple departments • Reviewing contracts, agreements, NDAs, and legal documentation • Coordinating with external legal partners where required • Supporting contract administration and document management • Researching regulatory requirements when expanding into new markets • Using AI tools to improve productivity across workflows • Automating repetitive tasks using tools like ChatGPT, Claude, Zapier, Make, Notion AI, or similar platforms • Conducting market, competitor, and business research • Supporting strategic initiatives for the founder • Solving problems quickly and independently

• using the best AI tools available to work smarter, faster, and better across all of workloads • researching regulations across jurisdictions, drafting T&Cs, Privacy Policies, Cookie Policies, and navigating psychologist licensing requirements country by country and more • writing job posts, screening candidates, running first-round interviews, and helping build our hiring engine • managing third-party emails, leading outreach & representing us professionally • going deep on markets, competitors, regulations, and anything else the business needs to move forward • contributing to social content, copy, and campaign ideas

• Support the founder with legal and operational compliance requirements, particularly within Swedish startup regulations and frameworks • Research and manage compliance related to: Employees, Freelancers/contractors, International workers, Employment classifications • Ensure contracts, documentation, and internal processes remain compliant • Stay updated on startup legal requirements and operational risks • Conduct research on: Payroll systems and providers, HR platforms, Legal frameworks, International hiring solutions, Operational tools and software • Summarize findings into clear recommendations for leadership • Identify operational inefficiencies and propose scalable solutions • Manage inbox communications and prioritize important emails • Draft professional emails, follow-ups, and external communications • Organize meetings, follow-ups, and internal action items • Ensure the founder stays focused on high-value priorities • Conduct outreach to psychologists, experts, and potential collaborators • Help coordinate partnership conversations and follow-ups • Support growth initiatives through proactive networking and communication • Support recruitment and hiring efforts • Coordinate interviews and candidate communications • Help build hiring systems and talent pipelines • Research compensation structures and payroll solutions • Assist in creating scalable people operations systems • Help create processes where none exist • Manage cross-functional operational tasks • Support execution across multiple departments • Act as a trusted right-hand partner to the founder

• Edit high-quality video content for Instagram (Reels), YouTube (Shorts & long-form), and digital campaigns • Integrate AI-generated visuals, animations, and enhancements into video content • Create motion graphics, titles, overlays, and transitions aligned with brand identity • Develop visually engaging storytelling formats optimised for short-form attention spans • Collaborate with the team on creative direction, concepts, and content strategy • Optimise videos for each platform (formatting, pacing, captions, hooks) • Stay up to date with AI tools, editing trends, and social media algorithms • Manage multiple projects with fast turnaround times

• Edit raw video footage into cohesive, high-quality final outputs for social media (Reels/TikTok/Shorts), YouTube, and podcast distribution • Create fast-paced, engaging short-form edits optimised for retention and storytelling • Edit and sync podcast audio and video content for Spotify and YouTube releases • Incorporate motion graphics, subtitles, music, sound design, and visual effects to enhance engagement • Ensure consistent visual identity, pacing, and tone across all content • Organise and maintain structured media libraries, project files, and version control • Collaborate closely with content creators, producers, and marketing teams to meet deadlines and creative direction • Optimise content for platform-specific requirements (Instagram, TikTok, YouTube, Spotify)
