Role Description The Law Offices of James L. Arrasmith is looking for a Law Firm HR Specialist to help handle the firm’s day-to-day HR work. This is a hands-on HR role, not an HR Manager position. We need someone who can help keep the firm organized with: - Hiring - Onboarding - Employee records - Attendance tracking - Training follow-up - Offboarding - General HR support The right person should be professional, organized, confidential, and comfortable working in a busy law firm environment. This role requires strong follow-through, good judgment, and clear communication with attorneys, staff, candidates, and remote workers. What You’ll Do: - Help with recruiting, job postings, resume review, candidate tracking, and interview scheduling. - Communicate with candidates during the hiring process. - Help onboard new attorneys, paralegals, legal assistants, intake staff, administrative staff, and contractors. - Track onboarding tasks, training assignments, system access, and policy acknowledgments. - Maintain HR records, including offer letters, onboarding documents, attendance records, training records, HR notices, and offboarding records. - Track attendance and timekeeping issues, including absences, sick days, late arrivals, missed shifts, and schedule changes. - Prepare HR trackers, spreadsheets, summaries, and routine documentation. - Serve as a professional contact for routine HR questions. - Document employee concerns and escalate sensitive workplace issues to the appropriate firm leader. - Help with offboarding, including equipment return, access removal, and separation documentation. - Maintain strict confidentiality in all HR matters. Qualifications - Prior HR experience. - Law firm or legal office experience is strongly preferred. - Strong written and verbal communication skills. - Strong attention to detail. - Good organization and follow-through. - Ability to manage multiple tasks and deadlines. - Ability to document issues clearly and professionally. - Good judgment on when to escalate an issue. - Comfort working with attorneys, legal staff, administrative staff, contractors, and remote workers. - Comfort using email, spreadsheets, Slack or similar messaging tools, HR systems, and document-management tools. Helpful Experience - Law firm HR or professional-services HR experience. - Employee onboarding and offboarding. - HR records and compliance trackers. - Recruiting support. - Training assignments and policy acknowledgments. - Google Workspace, Microsoft Office, Slack, ADP, Deel, or similar systems. - California workplace documentation and compliance concepts. Important Note This is not an HR Manager or HR Director position. This role supports HR operations but does not make final termination decisions, independently approve major discipline, give legal advice, or create firm policy without direction.
