• Coordinate internal and external meetings across time zones with speed and accuracy. • Manage documents, filing systems, and notes; track tasks and deliverables; prepare agendas and coordinate logistics. • Draft professional communications, organize folders, and ensure materials are ready in advance of meetings and events. • Act as a gatekeeper to protect the Executive Director’s time and energy. • Record and distribute notes, track action items, and ensure nothing falls through the cracks. • Monitor the Executive Director’s email inbox, flag high-priority messages, draft replies, and help manage follow-up. • Support research projects with summaries, background briefs, or comparative analysis as needed.

• Lead the planning, execution, and delivery of programs in Sierra Leone from concept through implementation and evaluation. • Develop detailed workplans, timelines, budgets, and risk mitigation strategies for all program activities. • Ensure programs are delivered on time, within budget, and aligned with organizational strategy and community needs. • Identify issues early and take corrective action without requiring constant escalation. • Independently identify, track, and manage all legal, regulatory, and permitting requirements related to water, energy, and infrastructure projects. • Serve as the primary point of contact with relevant government ministries, agencies, and local authorities. • Ensure compliance with national and local regulations and proactively manage government relationships to reduce project risk. • Lead structured community needs assessments, including demographic, infrastructure, and service-access analysis. • Establish trusted relationships with community leaders, traditional authorities, and local organizations. • Facilitate inclusive community engagement processes that surface priorities, concerns, and feedback. • Ensure community input meaningfully informs program design and implementation. • Build and manage strategic relationships with NGOs, implementing partners, donors, vendors, and technical partners. • Represent Elba Hope Foundation professionally with senior stakeholders, funders, and key opinion leaders. • Coordinate across internal and external partners to ensure alignment and accountability. • Track program progress against milestones, budgets, and impact indicators. • Prepare concise, decision-ready updates and reports for senior leadership. • Contribute to learning agendas and continuously improve program design based on evidence and feedback.

• Conduct research on foundation, NGO, and institutional grant opportunities aligned with EHF programs. • Build and maintain a live grants pipeline in Asana and Hubspot, ensuring all records are current and actionable. • Track deadlines, touchpoints, and follow-up tasks for timely and accurate follow-through. • Write, edit, and submit high-quality grant proposals, concept notes, letters of inquiry, and supporting documentation. • Proactively engage various internal stakeholders on program-specific quantitative and qualitative impact data, grant proposal needs, and grant budget development. • Maintain and track a 6-12 month forward-looking grants pipeline and submission calendar to ensure application deadlines and EHF’s funding timelines are met. • Support reporting requirements for awarded grants and maintain strong funder relationships. • Own and advance a live grants pipeline with weekly progress updates and clear next actions. • Independently identify, prioritize, and move forward 3-5 qualified prospects per month. • Maintain a library of compelling boilerplate text, budgets, attachments, and narratives (e.g., mission, theory of change, program descriptions).

• Design and deliver high-quality, engaging visual assets aligned with campaign strategies and EHF’s brand guidelines • Ensure visual consistency across all communications materials • Collaborate with internal stakeholders and incorporate feedback efficiently • Manage multiple deliverables with quick turnaround timelines during active campaigns • Oversee the production of the core programmatic assets in partnership with the US Communications Manager, ensuring all materials are consistent with EHF’s brand identity and campaign objectives • Maintain organization of assets in our design library for internal team access • Deliverables include: Social media assets, including static posts, carousels, infographics, and short-form video or reel templates, and slide deck design • Print and web assets • Design alignment with the provided brand guidelines and media asset visuals • Exported files optimized for web and social media platforms • Revisions or variations based on feedback rounds from the project team • Deliver all final files as editable Canva templates, accessible and adaptable for internal team use • A typical campaign may include: 4–6 social assets, 1 campaign kit (launch graphics, carousels, stories, reel templates), 1 infographic or multi-tile explainer, 2-3 event visual or branded announcement • Provide 2-3 rounds of revisions per asset, applying team feedback • Exact volume will be scoped based on campaign needs.
