• Manage and follow up on sales projects and client requests in both English and Spanish. • Coordinate with internal teams (administrative, legal, commercial) to ensure smooth operations. • Maintain documentation, task tracking, and timelines in SharePoint. • Handle invoicing, payment follow-up, and report updates. • Provide high-quality customer service to international clients.

• Build and schedule email campaigns in HubSpot • Set up and update landing pages using existing templates • QA test every email, form, link, and CTA before launch • Prepare and clean contact lists for campaign sends • Track UTMs and verify attribution is set up correctly • Pull basic reports and flag performance issues • Keep campaign records organized and up to date

• Assist with reviewing transactions and ensuring proper categorization. • Organize and maintain digital financial documents (receipts, invoices, contracts) in a structured cloud-based system. • Enter and track invoices in accounting software. • Respond to basic vendor or client inquiries. • Help monitor outstanding balances. • Assist in preparing bank and credit card reconciliations for review.

• Regularly review and analyze general ledger accounts to ensure proper coding and classification. • Maintain a paperless filing system; ensure all digital receipts, invoices, and contracts are correctly labeled and stored in our cloud-based repository. • Process digital invoices via QuickBooks, manage vendor inquiries via email/Slack, and monitor AR aging reports for timely collections. • Reconcile monthly statements within our cloud accounting software to ensure that the general ledger reflects real-time accuracy. • Support the senior team during close by providing account reconciliations, schedules, and documentation for audits.

• Conduct detailed variance analysis of actual results versus budget and forecast, providing insightful commentary and explanations for discrepancies. • Support the annual budgeting process, periodic forecasting, and long-range financial planning. • Develop and maintain financial models to support business initiatives, pricing decisions, and investment analysis. • Provide support and analysis to prepare accurate consolidated monthly, quarterly, and annual management accounts and financial reports for internal stakeholders. • Execute all necessary consolidation journal entries. • Maintain, reconcile and control intercompany accounts. • Collaborate with accounting teams across different legal entities to standardize intercompany processes and reporting. • Oversee cost accounting activities, including the accurate allocation of costs, property valuation, and determination of product/service profitability. • Analyze operational costs and spending to identify trends, inefficiencies, and cost-saving opportunities. • Monitor, track, and analyze actual project expenditures against approved CapEx budgets and forecasts. • Develop accurate, rolling forecasts for project spending and manage all budget change requests. • Prepare detailed variance analyses and control reports for project managers and executive leadership. • Enforce the company's capitalization policy and ensure expenditures adhere to accounting standards.
