• Own HubSpot governance end-to-end — establish a formal request, prioritization, and change-management process for all configuration and data changes; design and enforce a role-based permissions framework with field-level restrictions and data entry standards • Audit, rationalize, and consolidate the Zapier and broader automation layer that writes to HubSpot or other core systems — documenting and justifying each remaining workflow against a “could this be a native integration?” test • Own the HubSpot data integrity roadmap — remediate existing issues, prevent new ones, and coordinate with Engineering on any integration that reads from or writes to HubSpot • Trace every incoming request to first principles — surface system-of-record violations before they get built, identify when workflows or duplicate fields are compensating for missing integrations, and recommend the right architectural answer (not just the requested one) • Support the LoanPro implementation in the near term by absorbing discrete workstreams (e.g., Moov integration, read-only data flow into HubSpot); take over vendor coordination as implementation stabilizes; assume full operational ownership at steady state • Maintain working knowledge of adjacent systems (Feather AI, QuickBooks or future ERP, the data warehouse, Middesk) and flag cross-boundary issues even where this role does not have primary ownership • Serve as the connective tissue between business operations, Engineering, and external vendors — acknowledging, scoping, and resolving systems requests with judgment rather than reflex • Document the why, not just the what — build frameworks and processes that hold up over time and run without your constant intervention

Role Description The Valuations Coordinator is a high-impact individual contributor responsible for owning the execution of appraisal operations across the full lifecycle — from order placement through report delivery. This role plays a critical part in ensuring deals move efficiently by maintaining strong pipeline management, proactive follow-up, and real-time visibility across all valuation activity. - Own the placement of appraisal orders across multiple platforms, ensuring all orders are accurate, complete, and submitted in a timely manner. - Actively manage and monitor a high-volume pipeline of appraisal orders (both pre-close and post-close) across multiple vendor systems. - Maintain real-time updates in HubSpot and other systems, ensuring all status changes, communications, and risks are clearly documented. - Monitor and enforce SLAs across all appraisal orders, including the 2-day SLA, and proactively identify delays, vendor issues, or DQAs. - Ensure completed appraisal reports are properly received, documented, and handed off for review. - Serve as the primary point of contact for processors on valuation status, providing timely updates, resolving blockers, and helping keep deals moving efficiently. - Contribute to operational consistency by following standardized processes and identifying opportunities to improve workflows as volume scales. Qualifications - 2+ years of experience in appraisal coordination, valuation operations, or a similar role within a lending environment or AMC. - Experience working across multiple appraisal platforms or AMCs simultaneously. - Highly organized and execution-focused, with a demonstrated ability to manage competing priorities. - Strong attention to detail, with the ability to ensure accuracy in order placement, documentation, and system updates. - Clear and effective communicator, particularly in written form. - Comfortable operating in a fast-paced, high-growth environment. - Experience working in HubSpot or similar CRM systems is preferred. - 1+ year of experience working in a remote or distributed environment is preferred. - Self-directed and accountable, with a strong sense of ownership over outcomes. • Lead accounting workflows for investment management entities and related securitizations, including: - Day-to-day accounting activities (journal entries, accruals, allocations, etc) - Monthly and quarterly close activities - Tracking securitization cash flows, reserves, fees, and balances - Reconciliations between trustee/servicer reports, Backflip’s loan management system (LoanPro), and the GL - Prepare internal tracking and compliance schedules related to asset management and securitization activities, including equity and debt balances, interest expense, issuance costs, and covenant compliance - Plan and implement the insourcing of processes currently performed through a third-party fund administrator (entity bookkeeping, reconciliations, close support, reporting, and audit/tax support) - Oversee audit, tax, and stakeholder support, including coordinating with auditors, tax preparers, trustees, and administrators - Strengthen internal controls and accounting rigor as the platform scales - Draft and maintain high-quality accounting and reporting process documentation, including - Accounting policies, close checklists, and support schedules - Standardizing charts of accounts - SOPs, templates, and recurring schedules
