• Develop and maintain short- and mid-range schedules for field employees, crews, and equipment • Coordinate labor deployment based on certifications, skill sets, location, customer requirements, and business priorities • Partner with Operations Managers and field leaders to maximize crew utilization and improve schedule efficiency • Monitor schedule changes, call-outs, customer requests, equipment constraints, and project delays while adjusting plans as needed • Maintain visibility into workforce capacity, overtime exposure, upcoming demand, and resource constraints • Support planning efforts for outages, shutdowns, large projects, and peak workload periods • Coordinate the scheduling, assignment, and movement of equipment supporting field operations • Ensure equipment availability aligns with customer commitments and operational requirements • Monitor utilization, shortages, conflicts, and deployment schedules while proactively mitigating risks • Maintain accurate records related to equipment allocation, deployment, and return • Oversee weekly timesheet reconciliation and labor coding accuracy • Audit timesheets for completeness, approvals, policy compliance, and proper job allocation • Partner with Payroll, Finance, and Operations teams to quickly resolve discrepancies • Maintain records supporting labor tracking, equipment utilization, and selected job-cost reporting • Support administrative controls that improve payroll accuracy, billing integrity, and operational reporting • Coordinate employee engagement activities in partnership with People & Culture and local operations teams • Support recognition events, crew meetings, onboarding activities, safety celebrations, and workforce engagement initiatives • Manage event logistics including scheduling, communications, vendors, ordering, and on-site coordination • Ensure events are organized, cost-effective, and aligned with Astro Pak's culture and values • Serve as a central point of coordination between Operations, Procurement, Payroll, Finance, Fleet, Equipment, and People & Culture • Communicate schedule updates, staffing challenges, procurement concerns, and operational risks clearly and proactively • Build strong relationships with field leaders and crews through responsiveness, organization, and execution excellence • Support continuous improvement initiatives related to planning, scheduling, procurement, and workforce management
• Provide day-to-day administrative support to the President, COO, CFO, and CPO. • Manage complex calendars, scheduling, and prioritization of meetings across internal and external stakeholders. • Coordinate executive communications, including email triage, drafting correspondence, and preparing briefing materials. • Serve as a liaison between executives and employees, customers, vendors, and partners. • Maintain confidentiality and professionalism in handling sensitive business and personnel matters. • Coordinate domestic and international travel arrangements (flights, hotels, ground transportation, itineraries). • Prepare detailed travel schedules and logistics packages. • Plan and coordinate executive meetings, offsites, leadership sessions, and internal events. • Support logistics for board meetings, leadership summits, and executive planning sessions. • Capture and distribute meeting agendas, notes, and action items. • Assist with general office coordination and administrative processes. • Manage supplies, vendor relationships, and service requests as needed. • Support onboarding logistics for executive hires and key leaders. • Help coordinate cross-functional initiatives and follow-ups tied to executive priorities. • Create and format PowerPoint presentations for executive meetings, board discussions, and leadership communications. • Perform basic Excel work (tracking, reporting, summaries, simple data analysis) to support executive initiatives. • Compile briefing materials, reports, and dashboards for leadership review. • Assist with document preparation, formatting, and version control. • Track key executive priorities, deadlines, and deliverables. • Support cross-functional coordination tied to strategic initiatives. • Anticipate executive needs and proactively resolve administrative or logistical challenges. • Support special projects as assigned by the Executive Team.
• Coordinate the procurement of chemicals, hoses, fittings, consumables, PPE, and project-related materials • Source and manage rental equipment required for project execution • Negotiate pricing, availability, and delivery schedules with vendors • Build and maintain strong relationships with suppliers and service providers • Ensure projects are fully equipped and operationally ready prior to mobilization • Collaborate closely with Operations Managers, Project Leaders, and Scheduling teams to forecast and fulfill project requirements • Proactively resolve procurement, logistics, and supply chain issues that could impact project schedules • Maintain visibility into project readiness and communicate potential risks to stakeholders • Assist with project setup, readiness planning, and resource coordination.
• Track opportunities and customer activity after the lead stage • Follow up with clients on quotes, bids, inquiries, and project timelines • Maintain accurate CRM records and pipeline tracking • Partner with Sales Managers and Estimators to move opportunities forward • Communicate with customers via phone and email to ensure strong engagement • Help coordinate next steps between internal teams and clients • Manage multiple opportunities and priorities while staying focused on sales goals • Support special projects related to export-controlled work • Maintain compliance with company policies and safety procedures • Travel to key trade shows and industry events • Represent Astro Pak and support business development initiatives
• Partner with senior leadership to develop, implement, and sustain a Field Quality Management System that standardizes processes and ensures consistent customer experience • Oversee quality performance across multiple locations, ensuring processes deliver intended results • Report on QMS performance and identify opportunities for improvement • Promote a strong customer-focused culture throughout the organization • Serve as the primary liaison with external parties on quality matters, including nonconformities and audits • Engage customer stakeholders proactively to measure performance and align on expectations • Champion continuous improvement initiatives to exceed customer expectations • Lead efforts to identify, control, and correct nonconformities • Guide teams in risk identification, mitigation, and prevention strategies • Manage the Corrective Action system and collaborate with process owners to improve QMS effectiveness • Partner with Field Operations to implement and maintain an internal audit program • Ensure compliance with contract and regulatory requirements • Coordinate and oversee customer and external audits • Drive standardization and optimization of business processes, documentation, and procedures • Ensure effective document control and change management practices • Author, revise, review, and approve documentation as required • Ensure process controls are adequate for work impacting customer hardware or facilities • Partner with People & Culture and other departments to develop and deliver quality training programs • Promote accountability and quality awareness across the organization • Provide leadership, coaching, and mentorship to Field Quality personnel • Support performance evaluation and development of team members
