Payroll Coordinator

• Serve as the primary point of contact for support line inquiries during business hours, providing prompt and effective assistance to internal teams, clients, and healthcare professionals • Manage the setup of new clients in the Stogo Admin system, ensuring seamless integration for the Flex implementation team and maintaining data accuracy • Act as the primary liaison for the Flex implementation team, facilitating communication and resolving issues to ensure smooth operations • Oversee the scheduling of healthcare professional orientations within the Stogo application, ensuring timely and efficient onboarding processes • Reconcile payroll information prior to submission, ensuring accuracy and addressing discrepancies to support timely and precise processing • Prepare, upload, and update employee data in Stogo Admin, maintaining the integrity of flex employee records and ensuring compliance with organizational standards • Deliver exceptional customer service to internal team members and external clients by addressing inquiries, resolving issues, and fostering positive relationships • Uphold our Core Values: Own Your Relationships – Be someone others can count on; Own the Outcome – Deliver results through accountability and follow-through; Obsess Over the Experience – Make every interaction meaningful; Act with Integrity & Respect – Do what’s right, always • Other duties as assigned
Job Requirements
- Payroll processing experience
- High school diploma or equivalent
- 3 years experience in general office operations, including payroll processing
- Proficiency in Microsoft Office Outlook, Word, Excel
- Ability to quickly learn new systems
- Exceptional attention to detail
- Excellent customer service skills
- Excellent communication skills and high level of comfort communicating with employees across functional areas
- Ability to maintain effectiveness when experiencing changes in work tasks
- Ability to effectively work in a fast-paced and complex environment and maintain a sense of urgency
- Ability to build and maintain productive working relationships with cross-functional coworkers
- Will accept any suitable combination of education, training, and experience
- Preferred Qualifications: Experience in managing payroll in hospital setting, Bachelor's Degree in Business, Finance, Healthcare or related field, Experience in highly technical client facing customer support

• Manage end-to-end payroll processing for Canada and support North American payroll operations. • Validate payroll inputs including compensation changes, benefits, deductions, time records, and employee status updates. • Ensure payroll compliance with applicable regulations and company policies. • Perform payroll reconciliations, reporting, accounting support, and audit activities. • Partner with HR, Finance, IT, and payroll vendors to deliver payroll excellence. • Resolve payroll issues, inquiries, and escalations. • Drive process improvements, system enhancements, testing, and continuous improvement initiatives.
• Manage, coach and develop 3 Payroll Specialists; conduct regular 1:1s, set objectives, and lead performance reviews • Allocate entity and workload ownership across the team, balancing complexity and coverage risk • Build a positive team culture with clear accountability and defined career pathways • Serve as first-line escalation for all payroll queries, exceptions, and processing issues during US hours • Oversee end-to-end payroll processing cycles across all 5 US legal entities, ensuring accuracy and on-time delivery • Perform final review and sign-off on payroll runs before funding; act as hands-on processor for complex or high-risk entities • Manage off-cycle payroll runs, retroactive adjustments, and termination calculations • Own the payroll calendar and ensure all deadlines are met across entities • Ensure compliance with federal, state, and local payroll tax regulations across all jurisdictions • Maintain SOX controls documentation and support internal and external audits • Manage year-end processes including W-2 production, reconciliations, and tax filings • Monitor legislative and regulatory changes affecting US payroll; implement required process updates • Own day-to-day relationships with payroll system vendor, tax filing agents, and benefit administrators • Partner with HR, Finance, Legal, and Benefits teams as the primary US payroll contact • Prepare and present payroll metrics, exception reports, and KPIs for the Global Payroll Director and senior stakeholders • Identify and lead process improvement initiatives to enhance accuracy, efficiency, and controls • Support system upgrades, new entity set-ups, and M&A-related payroll integrations • Contribute to global payroll strategy and standardization projects led by the Global Payroll Director
