The Operations Generalist will play a strategic role amongst the Operations teams. This is an opportunity for someone to learn our business from many angles and position oneself for future leadership opportunities within our growing company. What you will do: - Learn and perform various operational tasks within our Operations teams, including Titles, Transportation, Arbitration, Payments, Resolution and Processing. - Identify, propose and implement key process improvements. - Act as a Lead and escalation point for associates when members of the leadership team may be out of the office or managing other priorities. - Perform a variety of operational tasks as needed to support team functions and ensure seamless operations. - Work closely with all Operations teams to facilitate smooth interactions and effective problem-solving across different functional areas. - Ensure that all activities and improvements align with our commitment to delivering an exceptional buying and selling experience for our customers. - Monitor and analyze operational performance metrics, providing insights and recommendations to enhance team performance and operational outcomes. - Perform additional duties as assigned. Qualifications - Ability to read, write, speak and understand English. - High School Diploma required. - 3+ years’ related experience. - Must be solutions oriented and persistent in the face of objections and obstacles while maintaining good relationships. - Be detail oriented and organized. - Highly self-directed and proactive, with the ability to manage a high-volume or work in a dynamic, fast-paced environment. - Ability to uphold and demonstrate the highest level of integrity in all situations. - Excellent organizational and administrative skills, attention to detail and follow-up skills. - Ability to meet deadlines. - Ability to handle multiple priorities. - Ability to work independently. - Strong time management skills. - An eye for identifying and implementing process improvements. - Strong communication skills and ability to work across multiple functions. - Ability to multi-task and be comfortable in fast-paced operation. Role Description Stefanini Group is looking for a Billing & Financial Operations Analyst focused on Hardware Resell to join our growing Billing & Financial Operations team within the Technical Services Management Office. The role will support the billing and financial administration of hardware resale transactions. It requires careful validation of billing information and supporting documentation, as well as regular coordination with Sales, Delivery, Finance, Procurement, and, where required, customers. - Prepare, verify, and issue accurate invoices for hardware resale transactions, in accordance with customer requirements and internal procedures. - Review & enforce standardized billing instructions and supporting documentation before invoice issuance. - Validate hardware descriptions, quantities, prices, currencies, purchase-order references, delivery information, and customer billing details. - Ensure that the information reflected in the invoice is consistent with the approved commercial and operational documentation. - Coordinate with Sales, Delivery, Procurement, and Finance to clarify incomplete, missing, or inconsistent billing information. - Perform detailed checks across purchase orders, pricing information, delivery documentation, and billing records. - Investigate billing errors, discrepancies, rejected invoices, and customer disputes. - Coordinate the required corrections with the involved internal stakeholders and customers. - Track outstanding billing issues and follow up until resolution. - Maintain accurate and up-to-date records of hardware resale transactions, invoices, balances, billing instructions, and stakeholder communications. - Monitor pending invoices and transactions blocked by missing documentation or unresolved discrepancies. - Support the reconciliation of customer invoices against the corresponding hardware resale records. - Assist with month-end billing activities and provide the required supporting information to Finance. - Identify potential billing gaps, incorrect values, or missing transactions that could result in delayed billing or revenue loss. - Prepare basic billing and financial reports related to hardware resale activities. - Use Microsoft Excel to manage, validate, reconcile, and report billing data. - Maintain proper documentation and traceability for audit and internal-control purposes. - Contribute to the improvement and standardization of hardware resale billing processes.
