Accounts Receivable, Collections Specialist

• Contact customers via phone, email, and written communication to collect overdue payments • Follow up consistently on delinquent accounts to reduce aging balances and resolve payment discrepancies • Research and resolve payment discrepancies, ensuring accounts are accurate and up to date • Apply customer payments and maintain accurate financial records • Process credit card payments, issue credits, and make account adjustments as needed • Negotiate payment plans when appropriate to support collections efforts • Respond to inbound calls, answer questions, and route inquiries as needed • Perform data entry and maintain detailed account documentation • Collaborate with internal teams such as Sales, Billing, and Customer Service to resolve account issues • Support continuous improvement of collections processes and workflows
Job Requirements
- 2 to 3 years of experience in Accounts Receivable, collections, or a similar role
- Proficiency in billing and invoicing using QuickBooks
- Strong understanding of accounts receivable processes, billing, and collections best practices
- Proven ability to track down outstanding payments, investigate issues, and resolve discrepancies effectively
- Advanced proficiency in Microsoft Office Suite, Google Workspace, and financial systems
- Excellent verbal and written communication skills, with a professional, persistent, and client-focused approach
- Strong organizational skills with exceptional attention to detail and accuracy
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- High level of integrity and professionalism when handling sensitive financial information
- Self-motivated, results-driven, and able to work independently with minimal supervision
- Experience handling high-volume collections or aging portfolios
- Experience working with cross-functional teams in a fast-paced environment
- Experience working with US-based clients, with a strong understanding of US business practices and communication standards
- Comfortable working in a fully remote environment
- Availability to work US Pacific Time (PST) hours
- High school diploma or equivalent required

• Collect cash for open Accounts Receivable while following up regularly with customers until payment resolution is received. • Research Accounts Receivable issues, reconcile payment remittances, and promptly resolve billing or account discrepancies. • Minimize bad debt write-offs and maximize cash receipts while maintaining a professional, customer-focused approach with internal and external customers. • Adhere to Accounts Receivable strategies and complete tasks such as on-account cash, escalations, credit review, and related work within expected SLAs. • Drive and host conference calls to resolve past-due issues and communicate effectively with customer Accounts Payable supervisors, managers, and directors. • Perform root cause analysis on customer issues and identify potential opportunities for process improvement. • Negotiate significantly past-due balances through payment plan or settlement processes when appropriate. • Summarize and present findings from account reconciliations to customers and internal Staples teams, including Sales, Customer Setup, and Contract Gateway teams. • Provide internal and external customers with ad hoc reporting, statements, and account information as needed. • Escalate problems or concerns to the Team Lead when additional support or resolution is needed.
• Responsible for tracking and resolving outstanding payment issues and reporting on monthly collections in a timely manner. • Providing customer service regarding collection issues, processing customer refunds, review and process account adjustments, resolve client discrepancies and short payments. • Responsible for monitoring and maintaining accounts - Customer calls, account adjustments, small balance write off, customer deductions, customer reconciliations and processing credit memos. • Interact with Cash Application team, Sales Tax Dept, Customer Service and other internals departments as necessary to effectively reconcile accounts as required. • Enlist the efforts of sales and senior management when necessary to accelerate the collection process. • Maintain open communication & follow up effectively with sales department regarding customer accounts on a timely basis. • Manage customers in the credit hold queue. • Maintain customer credit files. • Respond to requests for credit references. • Recommend changes in the credit policy to senior management. • Monitor the credit worthiness of accounts and review w/ management as required. • Perform other assigned tasks and ad hoc duties necessary to support the Accounts Receivable Department. • Engage in daily huddles, as well as weekly and monthly meetings to discuss & resolve A/R related issues. • Participate in AR related Projects i.e Avalara & Bill Trust. • Meet defined department goals and activity metrics. • Review direct reports’ timecards, ensuring employees’ time is accurately recorded and complete. • Approve employee timecards at the end of each period, prior to supervisor deadline. • Work with employees to resolve errors (missing punches, adjustments, etc.). • Review and approve PTO requests.
