• Develop Event Calendar and Budgets: Create a comprehensive event calendar with clear timelines and budgets. • Organize Kick-off Meetings: Align stakeholders on goals, timelines, and responsibilities through kick-off meetings. • Oversee Budgeting Processes: Manage detailed budgeting processes involving multiple teams to ensure financial efficiency. • Maintain Communication: Provide regular updates and consultations with relevant parties to ensure alignment and input. • Manage Event Logistics: Handle contracts, booth logistics, and promotional items, ensuring timely ordering, payment, and shipping. • Develop and Execute Promotions: Create and manage promotional timelines, event listings, and client events, including invitations and logistics. • Post-Event Analysis: Conduct post-conference surveys, debrief meetings, and distribute reports to gather feedback and evaluate event impact.
Job Requirements
- Bachelor's degree in Marketing, Communications, Business, or a related field
- 5+ years of experience in event planning and marketing
- Strong project management skills with the ability to manage multiple events simultaneously
- Excellent communication and interpersonal skills
- Proficiency in event management software and tools (e.g., Wrike, MediaFly)
- Ability to work collaboratively with cross-functional teams
- Experience in managing large-scale, complex events is preferred.
- Knowledge of budgeting and financial management is preferred.
- Strong analytical skills to evaluate event performance and ROI is preferred.

Role Description This is an EMEA role that will require travel to support in-person initiatives. The role is remote-based, with flexibility to utilize in-office option. Reporting to the Head of OpenAI Academy and Forum in EMEA, we are seeking an enthusiastic and highly organised Events and Community Manager to join the OpenAI Global Affairs team. In this role, you will oversee the programming, planning, coordination, and execution of both online and in-person events, manage content roadmaps, and collaborate with cross-functional teams to execute high profile engagements that serve Global Affairs priorities. Key Responsibilities - Support the Head of Academy and Forum in EMEA in day-to-day planning and execution of Academy and Forum programming aligned with OpenAI’s regional Global Affairs priorities. - Design and execute online and in-person events across EMEA, such as in-person trainings, webinars, and panel discussions, ensuring programming is culturally relevant and locally informed. - Manage timelines, guest communications, vendors, travel, and follow-ups for regional activations. - Track KPIs, participant feedback, and performance metrics, and provide regular internal reporting across initiatives. - Oversee end-to-end event strategy and execution, including programming, complex logistics, budgeting, and delivery. - Manage content roadmaps, overseeing the development and scheduling of online OpenAI Academy and Forum events and webinars. - Coordinate cross-functional contributors, collaborating with internal teams to ensure impactful initiatives. - Develop and execute community engagement strategies to foster a vibrant online and in-person community. - Monitor and analyse community metrics to inform continuous improvement of OpenAI Academy and Forum programming. Qualifications - Event production expertise - hands-on experience planning and executing both online and in-person events, from strategy and programming to on-the-ground execution. - AI enthusiast - experience working with agents to automate workflows a plus. - Comfort with tools like Figma, HubSpot. - Content strategy and coordination skills - ability to oversee content development, manage roadmaps, and ensure a consistent and engaging community experience. - Strong communication and collaboration skills - a talent for conveying ideas effectively and working cross-functionally with both internal teams and external community members. - Adaptability - the ability to navigate changing priorities while managing multiple projects with attention to detail. - Languages - fluency in English, additional EU languages a plus. • Act as a strategic thought partner to the Chief Commercial Officer, Vice President of Content, and other executives, contributing to long-term planning, process innovation, and cross-functional alignment. • Oversee venue sourcing, vendor negotiations, contract execution, and event logistics including catering, AV, transportation, and setup/teardown either on your own or in partnership with our third party event management company. • Partner with the marketing team to ensure seamless execution of invitations, presentations, signage, and branded collateral. • Help manage on-site operations, including setup, troubleshooting, and post-event wrap-up. • Own post-event analytics, including survey feedback, and budget reconciliation. • Own and manage event budgets. • Maintain and expand vendor relationships, including a centralized database of preferred venues and suppliers. • Anticipate needs, proactively resolve challenges, and ensure frictionless execution.
