PV Manager, Safety Admin

• Acts as the primary point of contact on multiple global projects, ensuring contract, procedure and budget compliance through effective communication with project managers, internal teams, cross-functional groups and clients (as applicable). • Manages day-to-day department operations, both locally and globally, and exercises independent judgement to troubleshoot and resolve project issues and identity areas for improvement. Provides direct supervision to department managers and their teams as needed. • Provides accurate forecasts for all projects, analyzing safety management costs, personnel hours, and project needs to ensure budget compliance. • Manages and coordinates project start-up activities, project maintenance and project close-out. • Oversees the department's Incoming Information Center and associated vendors, including but not limited to the management of procedural and contractual adherence as well as troubleshooting and issue resolution. • Acts as a resource to other departmental managers for all safety administration tasks and collaborates to problem solve and develop system improvements; ensuring utilization of assigned administration team. • Leads departmental initiatives and develops WPDs and SOPs, ensuring consistency and quality in execution and implementation. • Coordinates business continuity activities as required in the event of system downtime, adverse weather or disaster. • Manages staff, which may include interviewing and selection, job description preparation, professional development, goal setting, performance management, coaching and mentoring, employee counseling, and separations. Approves courses of action on salary administration, hiring, corrective action, and terminations. Reviews and approves time records.
Job Requirements
- Bachelor's degree or equivalent and relevant formal academic / vocational qualification
- Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable 5+ years).
- 1+ year of leadership responsibility
- Excellent knowledge of global regulatory requirements and the importance of and compliance with organizational processes and procedures
- Solid project management skills, including financial management
- Excellent oral, written, and interpersonal communication skills
- Proficient IT skills to include: MS Office (Word, Excel, PowerPoint, Access), Safety Databases, and the ability to create and design reports
- Proven ability to prioritize and handle multiple tasks simultaneously, to meet rigorous timelines and work effectively in stressful situations
- Strong attention to detail and accuracy
- Advanced critical thinking, problem solving and decision-making skills
- Proven ability to manage, motivate, mentor and supervise a diverse team across multiple regions and utilize the talents and abilities of all direct reports
- Comprehensive knowledge of medical and safety terminology
- Demonstrated ability to effectively delegate tasks and follow-up on adequate completion.

• Manage all clinical operational and quality aspects of allocated studies, of low to moderate complexity, in compliance with ICH GCP. • Develop clinical tools (e.g. Monitoring Plan, Monitoring Guidelines) in conjunction with the Data Quality Plan. • Collaborate with the project manager to prepare, organize, and present at client meetings, including bid defense and hand-off meetings. • Ensure achievement of the final clinical deliverable within the contractual time period by preparing and monitoring clinical activity timelines and metrics. • Regularly communicate with the team and lead team meetings to ensure that timelines, resources, interactions, and quality are maintained. • Ensure timely archiving of documents and study materials for the department. • May communicate with study sites regarding issues such as protocol, patient participation, case report form completion and other study-related issues. • Coordinate all start-up activities and ensure that timely ethics committee and regulatory submissions are addressed.
• Serve as an effective communication “bridge” between sites, third party vendors and the sponsor • Building and maintaining strong relationships with key stakeholders at clinical trial sites • Monitoring site performance metrics and providing regular updates to study teams on site engagement activities and outcomes • Collaborating with internal teams to develop and implement site engagement strategies tailored to the specific needs of each study and site • Identifying opportunities to improve site engagement and optimize site performance through regular communication and feedback mechanisms • Providing support and guidance to site staff on study protocols, procedures, and regulatory requirements
• Support and contribute to the Commercial Systems roadmap, encompassing CRM (Salesforce) and other technology systems and tools • Partner with Commercial Strategy, Revenue Management, Sales Leadership, and other cross-functional teams to translate business needs into practical technology solutions • Assist in build vs. buy evaluations for new tool investments, summarizing trade-offs for leadership review • Ensure platforms are well-documented, integrated, and maintained for long-term sustainability • Manage ongoing development, configuration, and optimization of the Salesforce platform to support field sales effectiveness and optimization of Commercial effectiveness • Lead requirements gathering, solution design, user story development, and UAT for Salesforce workstreams • Own release management, platform documentation, and end-user training to ensure adoption and data integrity • Partner with the JLI IT team to ensure sound integrations between Salesforce and adjacent platforms including ERP, data warehouses, and third-party analytics tools • Support the design and delivery of custom-built internal tools where Commercial needs exceed off-the-shelf capabilities • Define technical requirements and coordinate with development teams or vendors to execute software builds • Help establish engineering standards, QA processes, and release cadences for internally developed tools • Ensure custom solutions integrate with the broader commercial systems ecosystem • Develop and maintain the AI roadmap for the Commercial function, identifying high-value use cases such as account prioritization, lead and opportunity scoring, rep coaching, territory planning, content generation, and field reporting. • Partner with IT, Data, and external vendors to evaluate AI solutions; lead pilots and define the criteria for scale. • Champion responsible adoption — building field confidence, managing change, measuring impact, and iterating based on user feedback. • Partner with Commercial teams and functional partners to identify systems needs and maintain alignment on priorities • Translate technical concepts into clear business language for management audiences; translate business requirements into technical specifications for development teams • Collaborate with PMO and Commercial Planning functions to align systems delivery with commercial initiatives • Lead and develop a small team of Salesforce administrators and systems analysts • Coordinate with external development vendors, system integrators, and technology partners • Track platform budgets, project milestones, and delivery progress across active workstreams • Perform related duties as assigned, within your scope of practice
