• Manage the complete estimating process for commercial earthwork and utility construction projects from bid invitation through proposal submission. • Prepare accurate quantity takeoffs using industry-standard estimating software. • Develop complete project estimates and bid proposals. • Review plans, specifications, and project documents to determine scope requirements. • Prepare and manage Requests for Information (RFIs) during the bidding process. • Follow and adapt to internal estimating procedures and standard operating processes. • Maintain estimated documentation and bid records within the company's internal systems. • Communicate directly with the company owner on project priorities, bid strategy, and estimate reviews. • Progress from an initial onboarding and review phase to fully autonomous bid management.

• Complete detailed quantity take-offs from architectural, structural, and services documentation. • Build and maintain trade-based estimates (labour, materials, plant) aligned with company templates. • Prepare and issue RFQ packages, scope sheets, and tender queries to subcontractors and suppliers. • Review and level subcontractor quotes, identify scope gaps, and produce comparisons and recommendations. • Assist with value management options and alternatives (rate-based and clearly explained). • Produce accurate internal reports including cost plans, estimate summaries, allowances, exclusions, and risk notes. • Maintain and continuously improve the company price list and rate library. • Provide clear, concise responses to project teams to keep procurement and decision-making progressing efficiently.

• Manages projects on behalf of our clients, managing and meeting deadlines • Complete a variety of virtual assistant tasks including scheduling, emailing, lead conversion management, research projects, data entry, and many more different types of projects • Professionally communicate with clients and adjust to their changing priorities, needs, and deadlines using their business values and processes as a guiding principle • Hours start at 10-20 hours per week and have potential to grow up to 40 hours per week as we grow. Schedule is flexible and largely weekday-based, with most project turnaround times being 1-2 days. • This is a remote position.

• Perform meticulous, detailed quantity takeoffs from architectural, structural, and civil construction plans for large-scale residential and community projects. • Prepare comprehensive, professional material and quantity breakdowns in Excel format, delivering clean data structures ready for final pricing assignments. • Lead vendor outreach to proactively source, track, and update material pricing, product data, and material specifications. • Manage essential pre-construction documentation, including processing RFIs (Requests for Information) and compiling submittal packages. • Track project timelines and deliverables across the entire estimation funnel, ensuring deadlines are met for fast-moving bidding cycles. • Calculate specialized civil and site requirements, including precise linear footage and area calculations for extensive community infrastructure.
