Pre Service Scheduler Lead
Advocate Aurora Health
• Acts as a subject matter resource for internal and external scheduling users, patients, and providers • Assists team by handling more complex scheduling issues, specialized scheduling scenarios, and mentor phone lines • In manager’s or supervisor’s absence, assists in the investigation of safety events/scheduling issues and provides service recovery as a point person for escalation • Serves as a trainer/preceptor for new hires • Serves as a department resource for testing and training new or improved technology systems and processes • Participates in special project assignments, may collect or compile data, may pilot new workflows or processes • Collaborates with Supervisors and Workforce Management Coordinators to assist in real time floor management and assignment of resources • May participate in team member payroll activity • Brings attendance patterns to the attention of the supervisor
Job Requirements
- High School Graduate
- Typically requires 4 years of experience in health care, insurance industry, contact center or customer service setting
- Demonstrated ability to identify and understand issues and problems
- Knowledge and ability to articulate explanations of Medicare/HIPAA/EMTALA rules and regulations
- Mathematical aptitude, effective communication skills and critical thinking skills
- Ability to handle sensitive and confidential information according to internal policies
- Technical proficiency including experience with insurance verification/eligibility tools, EPIC electronic medical record, patient liability estimation tools, Microsoft Office, Internet Explorer and phone technology.

Role Description The Master Scheduler 3 creates and maintains provider schedule templates for all clinics and ancillary services with a goal of maximizing access to providers, balancing patient volumes, and reducing wait times. The incumbent must maintain in-depth knowledge of operational and patient flow for all managed specialties and optimize access to care. - Builds and manages provider schedule templates. - Manages scheduling application set up, including creating, updating, and removing templates as needed. - Monitors cancellations of physician clinic schedules and follows up with the assigned scheduling provider. - Manages daily schedule changes to ensure patients are rescheduled efficiently and timely. - Performs quality checks on assigned facility schedules and reports any under-booking or overbooking to management. - Develops and monitors reports on patient volumes, providing metrics to the department leadership to support decision-making. - Monitors and manages requests received from assigned phone lines, email boxes, and software applications used and assures requests are handled in a timely manner. - Communicates any issues to management and actively participates in any corrective activities. - Provides training and guidance to lower-level schedulers. - Adheres to University and unit-level policies and procedures and safeguards University assets.
