Role Description We are looking for a highly organized and detail-oriented Project Coordinator Virtual Assistant to support the day-to-day operations of a US-based custom signage company. In this role, you will coordinate projects, manage CRM records, support the sales team, and ensure seamless communication between clients and internal departments. If you thrive in a fast-paced environment, enjoy keeping projects on track, and have excellent administrative skills, we'd love to hear from you. - Manage and update customer records, opportunities, and tasks within the CRM. - Monitor incoming leads and ensure timely follow-ups. - Track project milestones and coordinate project timelines. - Prepare estimates, proposals, work orders, and other supporting documents. - Schedule appointments and coordinate meetings with clients and internal teams. - Respond professionally to customer inquiries via email and phone. - Coordinate communication between sales, production, and management teams. - Maintain organized digital files, contracts, invoices, purchase orders, and project documentation. - Follow documented workflows and standard operating procedures (SOPs). - Ensure projects, tasks, and customer communications are completed accurately and on time. Qualifications - Previous experience as a Project Coordinator, Administrative Assistant, Virtual Assistant, or similar role. - Excellent verbal and written English communication skills. - Strong organizational, time management, and multitasking abilities. - High attention to detail with strong problem-solving skills. - Experience using Google Workspace and Microsoft Office. - Comfortable learning and using cloud-based CRM systems. - Professional customer service and client communication skills. - Ability to work independently and manage multiple priorities. - Experience with GoHighLevel, HubSpot, Salesforce, Zoho, or similar CRM platforms is an advantage. - Experience in construction, manufacturing, signage, printing, or commercial services is a plus.
