Key Responsibilities - Compose, draft, and format letters, correspondence, memoranda, briefs, and various legal documents - Submit, file, and lodge legal paperwork promptly and accurately with state and federal courts (experience with electronic filing is advantageous) - Manage, coordinate, and maintain attorneys’ schedules using Outlook and Milana (including booking meetings, tracking deadlines, and organizing appointments) - Create, prepare, and process engagement agreements, client intake forms, and new matter requests - Consistently review, proofread, and edit documents to ensure precision, correctness, and completeness before distribution or filing - Organize, update, and maintain client records in both physical and digital formats while adhering to firm policies on file management and record retention - Track, monitor, and follow up on deadlines, court dates, and scheduled commitments using calendaring and docketing systems - Coordinate, schedule, and arrange meetings, conference calls, and appointments; handle related logistics such as ordering food, beverages, or equipment as needed - Plan, coordinate, and arrange travel for attorneys; prepare and submit expense reports and reimbursement requests promptly - Examine, verify, and review vendor invoices for accuracy; prepare payment requests and ensure timely submission to clients or accounting departments - Demonstrate teamwork by assisting colleagues and supporting others when necessary - Manage, balance, and prioritize multiple tasks and deadlines while maintaining professionalism; proactively request help when required - Provide support to guests, paralegals, and attorneys in the absence of assigned secretaries; take on additional or overflow assignments as needed Requirements - High school diploma required; associate’s or bachelor’s degree preferred but not mandatory - At least five years of experience in a legal secretary or legal administrative support role - Advanced computer skills and proficiency with legal and business software, including Lexis Nexis, Pacer, ECF, iManage or similar document management systems, Milana, Concur, Chrome River, Aderant, InTapp, Litera, and Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) - Strong familiarity with legal vocabulary, court procedures, litigation processes, and legal documentation, including the ability to create tables of contents and tables of authorities - Ability to understand that job duties may evolve; additional responsibilities may be assigned and qualifications may change over time
