Role Description Join our team and make a positive impact on the lives of others! We are looking for a Regulatory Affairs Associate for our Compliance team. This is a remote position with potential travel into our main office in New York or the FreedomCare hub closest to you for meetings and/or collaboration. The Regulatory Affairs Associate coordinates the development, review, maintenance, and distribution of organizational policies and procedures. This role supports policy governance by: - Maintaining documentation - Tracking review cycles - Coordinating cross-functional input and approvals - Helping ensure policies remain aligned with regulatory requirements and operational standards The position also provides administrative and project support for compliance-related initiatives, audits, training, and policy implementation efforts. Everyday You Will: - Policy Management & Administration: - Coordinate the development, review, approval, distribution, and ongoing maintenance of organizational policies and procedures, including drafting support, formatting, standardization, and version control. - Maintain policy repositories and review schedules to ensure documents remain current, accessible, and updated in accordance with regulatory and organizational requirements, including annual and ad hoc updates. - Assist with drafting policy language and formatting documents to organizational standards. - Compliance, Coordination & Implementation Support: - Collaborate with the Regulatory Associate, Manager of Regulatory Affairs, and other stakeholders to monitor regulatory changes, support policy alignment with compliance and operational requirements, and assist with audits, surveys, accreditation reviews, corrective action follow-up, and related implementation efforts. - Serve as a liaison across departments to gather input, coordinate reviews and approvals, support implementation of policy updates, and provide guidance on policy requirements and procedural expectations. - Documentation, Reporting & Training Support: - Prepare and maintain reports, logs, dashboards, acknowledgments, approval records, and other documentation related to policy management and compliance activities. - Coordinate policy-related training materials and support onboarding and ongoing compliance education initiatives tied to organizational policies. - Additional Compliance duties as assigned Qualifications - Associate degree required; Bachelor’s degree in Healthcare Administration, Business Administration, Public Administration, Compliance, or a related field preferred. - 2–4 years of experience in administrative support, policy coordination, compliance support, healthcare operations, document management, project coordination, or a related field strongly preferred. - Experience working in a regulated environment, preferably healthcare, and supporting large volumes of documentation across multiple stakeholders is highly preferred. - Regulatory knowledge and experience in policy and procedures management are essential qualities. - Must be able to demonstrate strong project management aptitude/experience. Requirements - Strong understanding of document management, policy administration, tracking processes, and administrative support work within a regulated environment. - Strong written, verbal, organizational, and follow-through skills. - High attention to detail and ability to manage multiple priorities, recurring deadlines, and ad hoc requests. - Proficiency in Microsoft Office Suite and experience using document repositories, shared drives, or other document management and tracking systems. - Ability to understand and apply regulatory or policy requirements and communicate them clearly to stakeholders. - Strong collaboration, coordination, and stakeholder support skills with the ability to act as a resource for colleagues with less compliance knowledge or expertise. - Ability to handle confidential and sensitive information with professionalism, discretion, and sound judgment. Role Description This role will be responsible for developing and continuously improving IPX Power’s Operational Compliance Program with a primary focus on NERC Operations and Planning (O&P) requirements for Generator Owner (GO), complemented by NERC CIP Low Impact responsibilities and ISO operational compliance for CAISO and ERCOT. Time allocation: ~60% NERC O&P (GO/GOP); ~15% NERC CIP; ~15% ISO operational compliance (CAISO and ERCOT), ~10% additional administrative tasks. This position will work closely with Operational Technology, IT, Operations, Asset Management, Engineering, Legal, and other partners to proactively develop and maintain auditable compliance processes, identify upcoming requirements, manage cross-functional implementation, and provide robust reporting to IPX and applicable regulatory bodies. This position is a key contributing role to the Operations Team and will report to the Head of Operational Compliance. Responsibilities and Duties - Provide leadership and guidance for NERC O&P compliance activities (GO) covering standards applicable to renewable utility scale PV/BESS plants—including EOP, FAC, MOD, PRC etc., —ensuring auditable procedures, evidence, and internal controls are established and maintained. - Assist with GO O&P program execution: manage PRC maintenance/testing programs (e.g., Protection System and UFLS where applicable), coordinate relay/AVR setting validation (e.g., PRC 019/PRC 029), oversee model data and validations (e.g., MOD 026/MOD 027), and implement voltage/VAR schedule and communications protocol compliance (e.g., VAR 002/COM 002). - Support NERC CIP obligations applicable to BES Cyber Systems at renewable sites: system classification (CIP 002), governance and policy (CIP 003), cyber security incident response, transient cyber asset management, electronic access controls, and physical security controls (CIP-003). - Monitor existing and new compliance requirements, identify potential impact to compliance program, and communicate any impacts and support technical SMEs during implementation of existing, revised, or new requirements. - Lead and support regulatory filings and submissions (e.g., NERC/Regional filings, self reports, periodic attestations, ISO, and PUC compliance submissions) including coordination with outside counsel, consultants, internal SMEs, and project personnel. - Partner with all levels of cross-functional teams and subject matter experts throughout the organization to analyze, recommend and support compliance implementation, understanding, and corrective action efforts, as needed. - Design and manage internal assessments, evaluate compliance, investigate potential noncompliance violations, document these in accordance with regulatory norms and industry good practices, and design appropriate corrective actions and mitigation plans to address identified internal control weaknesses and compliance evidence deficiencies. - Develop and deliver training for plant staff and other ops personnel covering applicable O&P and CIP requirements, communications protocols, abnormal/emergency operations, and evidence expectations. - Cultivate and maintain positive relationships with regulators (NERC/Regional Entities), Reliability Coordinators, ISOs, internal teams, and third party service providers (O&M, OEMs, SCADA/EMS vendors). - Direct the development and collection of all Reliability Standard Audit Worksheets (RSAWs) and supporting evidence; manage the internal audit preparation process, including mock audits and subject matter expert (SME) training, to ensure a defensible compliance posture during active regional entity audits. - Support compliance onboarding of new renewable assets during construction and commissioning, ensuring GO O&P and CIP requirements are designed in and evidence is captured at turnover. - Actively participate in industry organizations, conferences, workshops, and forums regarding internal controls, IBR (inverter based resource) considerations, and evolving standards and requirements.
