The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced environment while maintaining clear communication with multiple stakeholders. In Teamswell, every team member has an instrumental role and impact on the success of our business and our client’s success. Responsibilities - File Initiation & Intake: Review incoming real estate contracts and open files within the production system (Qualia). - Order Management: Timely procurement of title searches, tax certificates, and HOA payoff letters. - Data Integrity: Input and audit all party information, including buyers, sellers, agents, and lenders ensuring 100% accuracy of legal descriptions and property data. - Stakeholder Liaison: Serve as the primary point of contact for agents and lenders, providing proactive status updates and securing missing documentation (e.g., identity verification, SSNs). - Title Clearing Support: Support the Title Officer in resolving "clouds" on title by gathering necessary documentation, such as payoff statements and proof of identity. - Workflow Management: Utilize checklists and "zero-inbox" strategies to ensure all closing milestones are met ahead of schedule. Requirements - Experience: 1–2 years of experience in a professional administrative role. Direct experience in Real Estate, Legal, or Mortgage services is highly preferred. - Communication: Exceptional English proficiency (written and verbal) with the ability to explain complex closing concepts to clients with clarity and patience. - Technical Proficiency: High comfort level with Microsoft Office Suite. Previous experience with title-specific software (Qualia, SoftPro, or RamQuest) is a significant advantage. - Detail Orientation: A proven "eagle eye" for catching errors in complex legal documentation and numerical data. - Problem-Solving: A self-starter mindset with the ability to anticipate roadblocks (e.g., following up on HOA payoffs before deadlines expire). - Education: High School Diploma or equivalent required; Bachelor’s degree preferred.
