Sales and Service Operations Coordinator

• Oversee the full lifecycle of wholesale orders while working cross-functionally across the enterprise. • Act as a key counterpart to Territory Sales Managers. • Exercise strong operational judgement and have a deep understanding of wholesale workflows.

Job Requirements

  • Responsibilities include but are not limited to:
  • __**Order Operations & System Management**__
  • Manage the wholesale order workflow across LeafTrade, the DMT utility, Epicor, and Wherefour, ensuring accuracy, compliance, and timely processing.
  • Receive and process orders submitted via menus, validating completeness, SKU accuracy, and alignment with current inventory.
  • Use the DMT utility to identify duplicates, SKU conflicts, and inventory discrepancies prior to system upload.
  • Upload validated orders into Epicor and monitor downstream synchronization into Wherefour, resolving sync errors or data mismatches.
  • Enforce inventory visibility rules in LeafTrade to uphold FIFO and prevent premature SKU exposure.
  • Troubleshoot system issues and maintain checks and balances throughout the order lifecycle to ensure operational integrity.
  • Collaborate with Territory Sales Managers to clarify order details and resolve discrepancies.
  • Build and maintain menus for customers and TSMs.
  • Identify opportunities to streamline workflows and improve system efficiency
  • __**Sales Enablement & Communication**__
  • Send stock‑out notifications to wholesale customers and provide replacement options using updated menus.
  • Build, update, and distribute menus for Territory Sales Managers based on current inventory and product availability.
  • Communicate proactively with TSMs regarding order discrepancies, inventory constraints, and required corrections.
  • Provide operational insights and system guidance to support TSMs in customer interactions.
  • Coordinate with Sales to ensure orders meet internal standards and compliance requirements.
  • Identify sales opportunities through inventory trends and stock‑out patterns.
  • Maintain clear, professional communication with internal and external stakeholders.
