Pre-Construction Administrator

• Prepare contract letters, notices, and other documentation including build contracts, fencing notices, and council notices • Join virtual meetings to assess project progress and capture detailed notes to share with internal and external stakeholders • Review and update existing contracts and generate variations as needed • Track and ensure all deadlines and conditions outlined in contracts are met, including signed variations, finance approvals, and authority to commence • Maintain updated records, client files, and workflow spreadsheets, ensuring documents are saved in the correct file structure • Coordinate remotely with councils, engineers, and other consultants via email, phone, and video • Action all tasks, requirements, and requests in a timely manner as directed by the Operations Manager • Ensure all forms and approvals are complete in the job file prior to build commencement • Provide regular progress updates to clients on their project status • Manage email correspondence and handle general administrative tasks as required

Job Requirements

  • Experience in a similar administrative or coordination role within residential construction
  • Familiarity with the pre-construction process and residential building documentation
  • A qualification in Construction Management, Business Administration, or a related field is desirable but not required
  • Highly organised with the ability to manage multiple projects and deadlines simultaneously
  • Strong written and verbal communication skills in English
  • Confident and professional communicator who can engage with clients, councils, and consultants
  • High attention to detail with a focus on accuracy across contracts and documentation
  • Experience with construction management software and Microsoft Office (Word, Excel, Teams)
  • A genuine focus on delivering great outcomes for clients
