Role Description You will run a rolling portfolio of the group's operational and administrative projects end-to-end — obtaining certifications, licenses, and permits; opening international bank accounts; and coordinating corporate setups across jurisdictions. You keep each project moving, chase the external parties, keep the paperwork in order, and drive things to completion so leadership doesn't have to. What You Will Own - Project ownership — run company projects end-to-end: certifications, licenses and permits, international bank-account openings, corporate and administrative filings, and new-entity or new-market setups. - External coordination — work with banks, licensing authorities, notaries, lawyers, agencies, and service providers; push each project to completion and unblock delays. - Documentation — prepare and track KYC files, corporate documents, and applications; keep everything organized, complete, and audit-ready. - Planning & follow-through — maintain project plans, timelines, and status; follow up relentlessly and flag risks early. - Reporting — keep the Operations Manager / CEO updated with clear, concise status. - Support — help with broader business-assistant tasks as priorities require. Qualifications - Project coordination — proven track record running administrative or operational projects end-to-end, to completion. - Organization & follow-through — exceptional attention to detail and the persistence to chase institutions until things are done. - Bureaucracy-comfortable — at ease navigating licenses, certifications, bank onboarding / KYC, notaries, and government or corporate processes. - English — fluent written and spoken English is mandatory — you will be in constant contact with international institutions. - Tools — comfortable with project-management tools (Asana / ClickUp / Notion / Trello) and spreadsheets / document management. - Self-management — reliable and remote-proven; delivers without daily supervision. Nice to Have - Russian — you would work with a Russian-speaking team and CEO; Russian is a strong advantage. - Domain experience — company formation, corporate administration, licensing, banking / KYC, compliance, or paralegal-adjacent work. - Spanish — useful across our Spanish-speaking entities. - Certification / education — a project-management certification (Scrum / PMP) or a relevant degree is a plus. Compensation & Details - Compensation — USD 1,800–2,500 per month, depending on experience. - Setup — full-time, fully remote, engaged as an independent contractor. - Growth — broad exposure across the group's operations, working closely with the Operations Manager. Role Description As Remote Preconstruction & Project Management Coordinator, you will work directly with the Director of Construction and become a key part of our client's prices, coordinates, and delivers projects. The role will begin with a strong focus on preconstruction, estimating, scope development, bid coordination, budgeting, procurement, and constructability review. As you build trust and demonstrate strong judgment, the role is expected to expand into broader remote project-management support for active construction projects. This is a long-term opportunity for someone who wants autonomy, technical variety, and real exposure to the decisions that shape project cost, schedule, quality, and execution. - Review architectural, structural, civil, MEP, and consultant drawings to identify coordination issues, missing information, scope gaps, and constructability concerns before they affect the field. - Prepare trade-specific RFPs, bid packages, scope sheets, subcontract exhibits, and clear subcontractor scope language based on project documents. - Identify qualified subcontractors and vendors, distribute bid packages, manage follow-ups, and keep proposals moving to completion. - Level subcontractor bids, reconcile exclusions and qualifications, and prepare clear recommendations that help leadership make confident award decisions. - Validate construction costs through market research, historical pricing, material quotes, subcontractor feedback, and practical cost comparisons. - Identify value-engineering opportunities that reduce cost or schedule risk without unnecessarily compromising quality or design intent. - Draft RFIs and coordinate open questions with designers, consultants, subcontractors, vendors, and internal construction leadership. - Support project budgets, procurement schedules, long-lead-item tracking, trade cost summaries, allowances, contingencies, general conditions, and known risk items. - Prepare organized project handoff packages so the superintendent and field team have clear scopes, drawings, assumptions, and decision history. - As the role grows, support active projects by managing RFI, submittal, procurement, design-coordination, budget, change-order, meeting, closeout, and action-item logs. Qualifications - 5+ years of experience in construction preconstruction, estimating, project engineering, or project management. - Strong ability to read and interpret construction drawings, specifications, scopes of work, and trade sequencing. - Experience preparing bid packages, leveling proposals, identifying scope gaps, and drafting clear scope narratives. - Ability to review multiple drawing disciplines for coordination, completeness, constructability, and risk. - Strong written communication skills for RFIs, bid instructions, subcontractor correspondence, meeting notes, and leadership summaries. - Working knowledge of project budgets, procurement, schedules, RFIs, submittals, change management, and construction documentation. - Comfort working independently in a remote role while staying highly responsive, organized, and accountable.
