Role Description We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support a fast-paced, high-performing real estate team. This role is critical in ensuring smooth daily operations, efficient communication, and accurate data management across the business. The ideal candidate thrives in a dynamic environment, can manage multiple priorities, and is comfortable working with CRM systems and spreadsheets. Key Responsibilities - Operations, Collaboration & Recruiting Support - Collaborate with agents, brokers, and team members to support daily operations - Ensure smooth lead transitions and proper follow-through - Maintain clear and effective communication across teams - Assist with tasks assigned by leadership and agents - Support recruiting efforts (candidate outreach, tracking, and interview scheduling) - Manage recruiting pipelines within CRM systems - Assist with onboarding coordination and new team member setup - Communication & Follow-Up - Build and maintain relationships with potential clients - Follow up with leads at different stages of the sales process - Share information on properties, market trends, and services - Execute communication strategies set by leadership - Conduct outbound calls when required - Scheduling & Training Coordination - Manage calendars for agents and leadership - Schedule meetings, training sessions, and team events - Ensure team members are registered for required training - Track attendance and follow up on completion - Administrative Support & Data Management - Perform general administrative tasks - Support high-performing agents and team leads - Maintain accurate data entry across CRM systems and spreadsheets - Update and manage tracking documents (leads, transactions, agent activity) - Ensure data consistency across platforms (e.g., CRM, spreadsheets, internal tools) - Assist with reporting and basic data analysis Qualifications - Proven experience in real estate support or administration - Experience with CRM systems (Follow Up Boss preferred) - Strong organizational and multitasking abilities - High attention to detail and accuracy - Excellent written and verbal communication skills - Comfortable working in a fast-paced, remote environment Requirements - Reliable minimum 50 Mbps fibre internet connection - Fully functional laptop or computer suitable for remote work - Loadshedding backup solutions (e.g., inverter, UPS, or alternative power source) - Quiet, distraction-free workspace What We’re Looking For - Self-motivated and proactive individual - Strong problem-solving skills - Ability to work independently and as part of a team - High level of professionalism and accountability Benefits - FULL-TIME - OPEN-ENDED CONTRACT - PTO - INCREASES BASED ON ANNUAL PERFORMANCE REVIEW
