Role Description This position is National Remote. You’ll enjoy the flexibility to telecommute from anywhere within the U.S. as you take on some tough challenges. The Chart Retrieval Specialist II will continue with the Chart Retrieval Specialist responsibilities, and in addition, will help support with coaching, training, and developing the workforce across multiple regions. The Chart Retrieval Specialist II will be responsible for retrieving medical records (both paper and electronic forms) from various healthcare facilities on behalf of health plans and other clients for retrospective and prospective reviews. In addition, the Chart Retrieval Specialist II will assist with training, coaching, and developing remote and field workforce across multiple states and/or regions. This position is full time. Monday - Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 7:00 am - 7:00 pm PST. It may be necessary, given the business need, to work occasional overtime. We offer 2 weeks of on-the-job training. The hours of the training will be during normal business hours. Primary Responsibilities - Retrieve Medical Records, whether in person or remotely, from healthcare providers and facilities ensuring all records are obtained in a timely and accurate manner. - Ensure compliance with all federal and state regulations related to medical record retrieval. - Develop and maintain strong relationships with healthcare providers and facilities to facilitate the retrieval process. - Review medical records to ensure completeness and accuracy. - Utilize electronic health record systems to retrieve and store medical records. - Travel to various locations including out of town travel as needed. - Responsible for handling on-site and remote support functions. - Administers Level 1 field support such as scanning hardware and software issues. - Monitors field activity including, daily communications, productivity, and retrieval procedures to ensure all work is done correctly and timely. - Provides guidance, instruction, training, and direction to Chart Retrieval Specialists across multiple regions or states to ensure the highest quality of work. - Assists in team building and ensuring teamwork. - Responsible for routine checks on field team’s work including but not limited to productivity, required deliverables, quality assurance checks. - Maintain a detailed and accurate tracking system to monitor the progress of medical record retrieval requests. - Communicate with internal teams and external clients regarding the status of medical record retrieval requests. - Participate in the development and implementation of process improvements including software/hardware functionality, testing, and implementation to increase efficiency and accuracy. - Requires an individual to maintain the ability to work in an environment with PHI / PII data. - Performs Quality Assurance and Quality Control assessments on request. - Identifies areas of potential growth opportunity for the company and any process improvements to reduce issues with the client. - May be assigned other duties, including supporting other departments. - Must maintain compliance with all company policies and procedures. Qualifications - High School Diploma / GED. - Must be 18 years of age OR older. - 1+ years of medical record retrieval OR health information management experience. - 1+ years of experience with working in electronic health record systems. - Experience with reviewing medical records. - Comfortable troubleshooting basic software and technology issues. - Must be able to travel up to 75% domestically by plane or car. Travel schedule will be coordinated with your manager. - Ability to work full time. Monday - Friday. Preferred Qualifications - Must possess a valid driver’s license and provide proof of insurance. - Knowledge of federal and state regulations related to medical record retrieval. - Experience with Microsoft Word (create correspondence and work within templates), Microsoft Excel (data entry, sort / filter, and work within tables) and Microsoft Outlook (email and calendar management).
