Aviation Operations Coordinator

• Coordinate ground handling, permits, and airport services for non-scheduled flights across the company’s network • Monitor live flight operations and proactively identify and resolve issues including delays, diversions, weather disruptions, and customs or immigration complications • Communicate directly with clients, airport authorities, ground handling agents, crew, and immigration and customs officials • Prepare and deliver clear written and verbal shift handovers, accurately summarising ongoing flights, operational issues, and outstanding tasks to ensure continuity and zero gaps in operational coverage. • Deliver diplomatic, solutions-oriented communication to clients, particularly when conveying schedule changes or operational disruptions • Coordinate crew services including hotel bookings, ground transportation, and catering arrangements • Prepare and process overflight and landing permit applications across multiple jurisdictions • Maintain accurate operational records and update internal systems in real time • Work collaboratively with the Bangkok OCC team across rotating shifts to maintain 24/7 coverage

Job Requirements

  • Minimum 2 years of experience in aviation operations, flight dispatch, ground handling, airline operations control centres (OCC), or similar aviation environments.
  • Strong understanding of airport operations and coordination with multiple stakeholders including customs, immigration, air traffic control, ground handlers, fuel providers, and catering services.
  • Excellent written and verbal English communication skills with the ability to communicate professionally with VIP clients and government authorities.
  • Strong documentation and communication skills, with the ability to deliver concise written and verbal shift handovers that clearly summarize ongoing operations, outstanding tasks, and priorities.
  • Proven ability to work effectively under pressure and make sound decisions in time-sensitive situations.
  • Strong problem-solving skills with the ability to think proactively rather than simply react to issues as they arise.
  • Highly organised with strong attention to detail and the ability to manage multiple priorities simultaneously.
  • Comfortable working rotating shifts in a 24/7 operational environment.
  • Able to work independently while maintaining strong collaboration with remote team members.
  • Professional, calm, and diplomatic when handling operational challenges or communicating difficult updates.
  • Nice to Have:
  • Experience working for aviation ground handling providers such as Dnata, Swissport, or similar organizations.
  • Experience supporting private aviation, business aviation, charter operations, or VIP flight services (e.g. Qatar Executive, VistaJet, ExecuJet, or similar FBO/charter operators)
  • Familiarity with overflight and landing permit processes across Southeast Asia.
  • Previous experience working with Middle East-based aviation organizations.
  • Knowledge of NATA Safety 1st standards or equivalent aviation safety certifications.
