• Communicate any significant trip details to vendors, suppliers, CEOs, and other relevant individuals in preparation for a trip. • Assist the Regional Operations Manager with managing Ops Inbox, bring up hot issues to ROM, day-to-day coordination and management of business operational activities. • Identify problems in the operations process and resolve them in a quick and timely manner. • Evaluate current operational performance and provide strategic plans for improvements. • Support ROM to prepare for and assist with CEO training and provide the CEOs with the needed support. • Handle the region's finances, including investigating and resolving issues with incorrect invoices in a timely and efficient manner. • Ensure timely payment processing by coordinating with the finance team and monitoring outstanding invoices. • Accurately validate trip budgets to maintain financial efficiency. • Liaise with suppliers to build and maintain an efficient and strong working relationship. • Monitor department email accounts as requested, actioning emails according to priority. • Develop a thorough understanding of and capability in all department administrative roles and tasks to provide holiday/sick cover. • Carry the Operations Emergency Phone on a rotational basis. • Contribute to the company’s performance and culture by fully embracing the G Adventures Core Values and promoting a positive and enthusiastic working environment. • Support ROM and the team on cost saving initiatives to support the company profitability goals. • Handle non-critical and critical incidents and assist CEOs and/or travelers in a professional, empathetic, and efficient manner. • Help create customized trips upon request. • Action technical questions from GCO’s (Inside Sales department) concerning trips. • Assist in scheduling trips for current CEO's and the hiring process for new CEO's. • Assist in managing and performing all tour staff administrative tasks as required, this includes but is not limited to payroll, accounts process, rostering and schedules, implementation of incentive programs and local awards programs, and assisting with managing correspondence from tour staff. • Maintaining tour staff records including contracts, benefits, profile updates and up to date first aid qualifications and updating route guides, trip and welcome notes, and applications for criminal record checks. • Support the tour staff management team with the implementation of tour staff incentive programs, local awards programs and monitor and regularly contribute to the tour staff forum discussions, engagement, recruiting and training tour staff and promoting growth in the region. • Read the tour staff comments section on passenger evaluations and make suggestions and provide input. • Ensure timely submission of all aspects of tours in Polaris, checking and supervising money request dailies, cash flow, post trip emails and general trip expenses. • Working with tour staff to ensure they take responsibility for their own trip’s expenses and documents. • Responsible for compiling pre-trip documents for the tour staff and assisting the tour staff management team in pre and post-trip report and debrief of tour staff. • Coordinate and assist in ground support for logistical issues during trips and on trip emergencies and assist with critical incident management as requested by the tour staff management team. • Contribute to special projects, such as gathering and organizing photos for internal and external use; developing manuals and other tour staff resources. • Any other tasks as requested by the tour staff management team or regional manager. • Assist tour staff in getting all necessary information for trips. • Provide tour staff practical field support when needed or requested by the tour staff manager. • Weekend work as required by role (will be made up with time in lieu), and taking the emergency phone. • Assisting with the financial debriefings of tour staff post tour. • Assisting other regions in Asia with necessary support during off season in Central Asia. • Contribute in Raise the World campaign, and drive the result of CEOs contributions in fundraising program as per company’s goals.
