Role Description We are looking for a highly organized and proactive Virtual Assistant to support day-to-day operations and administrative tasks for a US-based client in the bookkeeping/accounting industry. - Provide operations and administrative support - Manage appointments — scheduling, confirmations, rescheduling, and calendar management - Handle social media management and marketing support - Assist with LinkedIn outreach and networking support - Manage outreach via CRM and email - Perform data entry and maintain accurate records - Track KPIs and metrics - Support workflow and task management - Assist with other ad hoc tasks as needed Qualifications - 1+ years of experience as an Admin Assistant for US-based clients - Experience in social media management and marketing support - Familiarity with Canva and AI content tools - Experience with CRM systems and scheduling tools - Strong Excel and Google Sheets skills, including data tracking, reporting, and formulas - Experience with outreach and networking support (preferred) - Background in the accounting/bookkeeping industry (a plus) - Understanding of marketing and audience engagement strategies Requirements - Proactive and organized - Strategic thinker - Reliable and detail-oriented

Key Responsibilities - Insurance Authorization & Billing Management - Manage billing denials and follow up on outstanding claims. - Track and follow up on insurance authorizations. - Access insurance and MCO portals for authorization and billing-related tasks. - Follow up on insurance claims and payment statuses. - Ensure authorizations are completed promptly after assessments and tracked through approval. - Maintain accurate records, documentation, and task tracking. - Patient Scheduling, Intake & Front Desk Support - Schedule and reschedule patient appointments. - Complete patient intake processes. - Answer and manage incoming phone calls. - Perform front desk and receptionist duties. - Handle patient communications professionally and compassionately. - Potentially manage patient calls and complete intakes independently after training. - Credentialing & Healthcare Administration - Handle credentialing and insurance enrollment processes. - Upload and process information within healthcare systems and platforms. - Manage email inboxes and calendars. - Coordinate administrative tasks and provide office support. - Follow established SOPs, workflows, and internal processes consistently. - Provide daily accountability updates and end-of-day reports. - Support general healthcare administrative operations. - Marketing & Administrative Support - Schedule and publish social media content. - Assist with event planning and coordination. - Support marketing and lead generation initiatives. - Additional Clinical Support Responsibilities (For Qualified Candidates) - Conducting pre-assessment patient interviews. - Gathering patient information before clinician evaluations. - Assisting with clinical documentation preparation. - Supporting diagnostic workflow processes. - Creating supporting clinical documentation from completed assessments. - Assisting with behavioral health treatment planning workflows.
