Title: Executive Assistant to a GM Location: Sydney Australia Job Description: Executive Assistant - Small Business Banking (Business Performance & Strategic Partnerships) An exciting permanent opportunity within Small Business Banking (SBB) at Commonwealth Bank of Australia, operating in a high-performing, hybrid work environment. This role supports two General Managers across Business Performance and Strategic Partnerships, playing a critical role in enabling leadership effectiveness, operational discipline, and cross-functional alignment. About the Role As a trusted Executive Assistant, you act as a key enabler to the General Managers, providing seamless executive, operational and stakeholder support. You operate as an extension of the leadership team-ensuring priorities are delivered efficiently, time is optimised, and business outcomes are supported through strong coordination, organisation and judgement. Key Responsibilities - Executive & Operational Support - Deliver high-quality administrative, secretarial and business support with professionalism and discretion. - Manage complex and fast-moving diaries and inboxes, ensuring optimal prioritisation and alignment to business priorities. - Draft, coordinate, and manage correspondence on behalf of the General Managers. - Diary, Meeting & Governance Management - Coordinate and schedule internal and external meetings across senior stakeholders and executive offices. - Prepare meeting materials, briefing packs and agendas to support effective decision-making. - Facilitate meetings including minute-taking, action tracking and follow-ups to ensure accountability and execution. - Stakeholder & Relationship Management - Act as a central point of contact across senior stakeholders, executive assistants and broader teams. - Build strong, trusted relationships to enable seamless coordination and collaboration across the business. - Events & Leadership Forums - Plan and deliver end-to-end events including leadership forums, offsites, team engagements, and external functions. - Manage logistics including venue sourcing, catering, travel, and communications to ensure successful delivery. - Travel & Logistics - Coordinate complex travel arrangements, managing itineraries and logistics across multiple locations and stakeholders. - People & HR Support - Support recruitment processes, onboarding and team management activities through HR systems and coordination. - Contribute to a positive team culture through proactive support and engagement initiatives. - Financial & Operational Coordination - Manage expenses, invoicing, and financial tracking in line with internal policies. - Support operational processes, trackers and reporting to enable visibility and efficiency. - Process Improvement & Risk Awareness - Identify opportunities to streamline processes, improve efficiency, and enhance ways of working. - Ensure compliance with internal policies, governance, and risk frameworks. What We're Looking For - Proven experience as an Executive Assistant supporting senior leaders in a fast-paced environment. - Strong capability in managing complex schedules, competing priorities and shifting timelines. - Exceptional attention to detail, organisation, and follow-through. - High level of professionalism, discretion, and stakeholder engagement across all communication channels. - A proactive, solution-focused mindset with the ability to anticipate needs and remove friction. - Strong adaptability, resilience, and ability to work under pressure. - A collaborative, team-oriented approach with a passion for delivering high-quality outcomes.
