Team Lead – Intake & Case Management, ABA

• Lead and manage the intake and case management team, providing daily oversight, support, and performance coaching • Oversee the full client intake lifecycle, including initial inquiries, insurance verification, authorizations, and onboarding • Ensure accurate and timely entry and maintenance of client data within CentralReach and other CRM systems • Monitor team productivity, workflows, and turnaround times to ensure SLAs are consistently met • Develop, implement, and improve intake and case management processes and SOPs • Act as the escalation point for complex cases, delays, or client concerns • Collaborate with clinical, billing, and scheduling teams to ensure seamless client onboarding and service delivery • Track and report on key metrics (e.g., intake timelines, conversion rates, authorization turnaround times) • Conduct regular quality assurance checks to ensure data accuracy and compliance with company and payer requirements • Train and onboard new team members on systems, workflows, and best practices • Ensure compliance with HIPAA and internal documentation standards
Job Requirements
- 3+ years experience in ABA operations, intake coordination, or case management
- Proven experience in a leadership or supervisory role
- Hands-on experience with CentralReach (required) and other CRM/EMS systems
- Strong understanding of ABA intake processes, including insurance verification and authorizations
- Excellent organizational and multitasking abilities
- Strong attention to detail and process-driven mindset
- Effective communication and team leadership skills
- Ability to work independently in a fast-paced, remote environment
- Must be available to work U.S. business hours

• Review and triage incoming service requests to determine required actions such as troubleshooting, maintenance, or repair. • Create and manage work orders within the CRM system. • Assign service requests to appropriate field service partners. • Monitor the status of dispatched tickets and ensure timely completion. • Collect and review site visit reports, documentation, and photos from field partners. • Provide timely updates on field service activities to Customer Service and Technical Support teams. • Ensure all relevant ticket information is accurate and up to date. • Support cross-team collaboration by maintaining clear and consistent communication. • Participate in weekly service network team meetings. • Attend cross-departmental meetings to align on operations and service performance. • Join bi-weekly company-wide meetings and other sessions as required.
• Conduct weekly service ticket reviews to ensure timely resolution and completion. • Review field service reports and quotes for accuracy and completeness. • Close service tickets and maintain accurate records. • Serve as the first point of contact for service ticket inquiries from internal teams and Field Service Partners (FSPs). • Drive partner responsiveness and service resolution through proactive follow-up. • Manage workmanship warranty claims and service escalations. • Provide timely service status updates to Customer Service and Technical Support teams. • Ensure accurate documentation and communication of field service activities. • Participate in weekly Service Network team meetings. • Attend cross-functional and departmental meetings. • Join monthly all-hands meetings and other business-related meetings as needed. • Collaborate with internal teams to improve service operations and customer experience.
