Job Description

Proposal Specialist II

CivicPlus

• Create, coordinate, edit, and format customized proposal responses for RFPs, RFIs, RFQs, and informal proposals. • Analyze proposal requirements and determine what information is needed for accurate, timely, and tailored submissions. • Coordinate proposal production from start to finish. • Partner with sales, marketing, business development, and other internal teams. • Facilitate and participate in strategy meetings. • Review, edit, and proofread proposals and related materials. • Maintain proposal templates, databases, and CRM records. • Help improve team efficiency • Support onboarding and development of team members. • Serve as a lead resource for the team when needed.

Job Requirements

  • Bachelor’s degree preferred, or equivalent work experience.
  • Experience in a similar proposal, bid, or response-management role.
  • Strong written and verbal communication skills.
  • Strong attention to detail.
  • Ability to manage multiple detailed projects simultaneously.
  • Experience working with tools such as Salesforce, Avnio, InDesign, Photoshop, Microsoft Office, and Acrobat Professional.
  • Ability to work independently and solve problems.
  • Ability to collaborate effectively across business units.
  • A strong sense of ownership, sound judgment, and a continuous-improvement mindset.
