Talent Acquisition – Business Operations Coordinator

• Recruiting Operations & Coordination • Create, post, and manage job requisitions in the ATS and job boards to support hiring demand • Maintain accuracy of requisition data, candidate stages, and documentation within systems • Review applicant flow and support screening logistics, interview scheduling, and candidate communication • Partner with recruiters to ensure consistent pipeline movement and timely hiring outcomes • Generate and track offer letters, ensuring accuracy and alignment with internal processes • Monitor hiring progress against key timelines (time-to-fill, time-to-start) • Provide additional administrative and operational support as needed, including reporting, system updates, vendor coordination, process documentation, audit preparation, and other recruiting or onboarding-related responsibilities that support business needs ****Onboarding Execution & Support** • Coordinate the end-to-end onboarding process from offer acceptance to Day 1 readiness • Initiate onboarding workflows and track completion of all required documentation and compliance steps • Serve as a point of contact for new hires, providing timely support and clear communication • Troubleshoot onboarding issues (system access, paperwork, background checks, etc.) and escalate as needed • Ensure all new hires are fully prepared for their start date with a consistent, positive experience **Training & Documentation** • Develop and maintain training guides, SOPs, and job aids for recruiting and onboarding processes • Identify process gaps and continuously improve documentation to enhance efficiency and consistency • Support training for recruiters, hiring managers, and internal stakeholders on onboarding workflows and tools **Business Operations Partnership** • Partner with Business Operations to deliver a white-glove onboarding experience, ensuring alignment on start dates, readiness, and workforce planning needs • Support cross-functional coordination to ensure seamless handoff from hiring to onboarding to operational readiness • Assist in tracking onboarding metrics and identifying opportunities to improve speed, quality, and experience **Success Measures** • Timely and accurate creation and management of requisitions • Reduction in onboarding delays and time-to-start gaps • High completion rates and compliance within onboarding workflows • Strong new hire satisfaction and positive onboarding experience feedback • Operational efficiency through improved processes and documentation
Job Requirements
- 1–3+ years of experience in recruiting coordination, HR operations, or onboarding support
- Experience working within an ATS or HRIS system
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- High attention to detail and process discipline
- Strong communication skills with a candidate-first mindset
- Ability to problem-solve, troubleshoot, and navigate ambiguity in a fast-paced environment
- Proficiency in Microsoft Office (Excel, Word, Outlook) and collaboration tool
- Preferred Qualifications**
- Experience supporting high-volume hiring environments
- Exposure to onboarding systems, background check processes, or compliance requirements
- Experience creating training materials or process documentation
- Familiarity with recruiting metrics and reporting
