• Provide general administrative support • Answer and manage inbound phone calls professionally • Monitor and respond to inquiries received through the company website's Contact Us page • Prepare and send invoices to clients • Send scopes of work, proposals, and contracts to prospective clients • Follow up with prospects after meetings and maintain communication pipelines • Utilize existing templates, workflows, and SOPs to ensure consistency • Support HR tracking and documentation through internal systems • Maintain accurate records and updates within company platforms • Assist with ongoing administrative projects and process improvement initiatives • Complete action items assigned during weekly team meetings • Learn new processes and take on additional responsibilities as the business grows
Job Requirements
- Previous experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, or similar remote support role
- Experience using Monday.com is required
- Strong organizational and time management skills
- Excellent follow-up and task management abilities
- Ability to work independently with minimal supervision
- Professional written and verbal communication skills
- Comfortable managing multiple priorities and deadlines
- Detail-oriented with strong problem-solving abilities
