Real Estate Transaction Coordinator

Role Description If you know real estate CRMs inside out, thrive in a fast-moving environment, and take pride in keeping everything organised and on time — this role is for you. We’re placing a Real Estate Virtual Assistant for a growing US-based real estate AI company. You'll own CRM accuracy, lead organisation, pipeline updates, transaction coordination support, and day-to-day operations for real estate agents and investor clients — keeping the pipeline moving and nothing falling through the cracks. You’ll work directly with the team via Slack and be the person everyone relies on to get things done accurately and on time. This is a stable, full-time permanent role with a team that values reliability, attention to detail, and someone who can follow a process and own their workload. Responsibilities - Manage CRM records — update contacts, tag and segment leads, track pipeline status - Track tasks and reminders, manage follow-ups for agents and investor clients - Assist with transaction coordination and admin support - Prepare basic reports and monitor communication channels - Support listing and admin workflows, document organisation, and email follow-ups - Coordinate appointments and handle internal team updates via Slack - Ensure client requests are completed accurately and on time Qualifications - 2+ years of direct US real estate virtual assistant or transaction coordination experience. Applications without US real estate experience will not be considered. - Hands-on ownership of a real estate CRM including lead tagging, pipeline management, follow-up task creation, status updates, and reporting.
