• Execute and iterate on the Payroll Operations roadmap that will result in automation, standardization, and centralization of HR processes and systems. • Perform the collection, calculation, and entering of payroll data. • Address employee questions/concerns relative to pay and time and attendance. • Update payroll records and prepare payroll reports. • Contribute to the development and documentation of repeatable and scalable payroll processes and employee-facing guidelines and procedures. • Work with Accounting to maintain accurate job costing and G/L records. • Produce and analyze employee data reports. • Manage administration of payroll tax accounts, filings, and new account openings. • Balance taxes from Workday to ADP. • Balance and file quarterly taxes. • Validate and reconcile tax rates. • Produce and analyze company tax reports. • Maintain the integrity and confidentiality of human resource records, forms, files, and policies. • Assist employees with general People Payroll questions and ensure exceptional customer service. • Support employee onboarding and offboarding processes and support coordination.
Job Requirements
- 5+ years’ of progressive payroll experience in a dynamic, fast-paced, rapidly growing environment.
- Experience using Workday and ADP Smart Compliance for payroll.
- Payroll tax and compliance experience.
- Nice to Haves: Bachelor's degree in human resources, business, or related field.
- Experience in a People Operations role in the tech industry, ideally having observed M&A integrations.
- Experience working in a rapidly-scaling startup.
- Working knowledge of employment laws and compliance in all U.S. states.

Role Description Milestone Business Solutions is seeking a remote Payroll Specialist to collaborate with our internal team and small-business clients. You will administer weekly, bi-weekly and semi-monthly payroll for companies across the country in various systems and industries. You will provide our clients with innovative, structured solutions that scale, add value and build trust. A Day in the Life - Accurately process client payroll, ensuring compliance with all relevant laws and internal policies. - Ensure hours are properly imported from Time & Attendance systems. - Oversee processing of payroll changes (e.g., new hires, terminations, raises, etc.). - Maintain accurate records and prepare reports. - Submit 401k and HSA contributions as needed. - Resolve issues and answer payroll-related questions. - Maintain a working knowledge of all payroll-related systems used by our clients (including 401K and HRIS) to serve our clients' needs now and provide recommendations for their business in the future. Role Description The Payroll Tax Specialist position is responsible for the timely and accurate processing, payment, and filing of a high volume of Federal, State, Local, and other required payroll tax liabilities for US Payroll. - Responsible for the timely and accurate processing, payment, and filing of a high volume of Federal, State, Local, and other required payroll tax liabilities. - Prepare, review, and reconcile payroll tax filings and supporting reports, including but not limited to Forms 941, W-2, W-2C, state quarterly returns, and annual tax filings. - Manage a high volume of incoming correspondence, including emails and phone calls, in a timely and professional manner. - Research, analyze, and respond to Federal, State, and Local tax notices and agency inquiries. - Investigate payroll tax discrepancies, perform root cause analysis, and coordinate wage corrections, amended filings, and tax adjustments as necessary. - Maintain and reconcile internal payroll tax accounts within Oracle to ensure liabilities, filings, and payments align with payroll and financial records. - Monitor changes in payroll tax laws, agency requirements, and filing regulations to support ongoing compliance. - Maintain, update, and administer online agency access, tax accounts, and filing credentials for Federal, State, and Local tax jurisdictions. - Partner with Payroll Services, Finance, Treasury, and internal business teams to resolve tax-related issues and support operational accuracy. - Communicate professionally with employees and clients regarding payroll tax questions, withholding matters, and general payroll tax inquiries. - Support year-end processing activities, including W-2 reconciliations, corrections, and employee tax documentation inquiries. - Identify opportunities for process improvement, automation, and stronger internal controls related to payroll tax compliance and reporting. - Perform additional duties and special projects as assigned to support Payroll Tax operations. Qualifications - High School diploma or equivalent required. - Minimum of 2 years of experience processing high-volume, multi-state payroll tax filings. - Familiarity with payroll tax reconciliations including Amendments, Forms 941, W-2C, and other related tax reporting requirements. - Advanced proficiency with Excel (pivot tables, formulas, and reconciliation analysis). - Advanced proficiency with Oracle EBS is preferred. - Familiarity with Employer of Record (EOR) models, MasterTax, and Monday.com preferred. - Strong attention to detail with a proactive, solutions-oriented mindset. - Excellent organizational skills with the ability to manage multiple priorities simultaneously and adapt quickly to changing work assignments and deadlines. - Professional written and verbal communication skills, emotional intelligence, and a collaborative team-oriented approach. - Demonstrated ability to exercise sound judgment and maintain a high level of discretion and confidentiality.
