Sales Administration Coordinator

Role Description The Sales Administration Coordinator position supports the field sales staff with revenue management, data reporting, and other key business support priorities. Daily activities may include interaction with sales field teams, internal order support teams, and direct contact with hospital accounts regarding outstanding Purchase Order information. - Establish an effective and collaborative relationship with the field sales team and serve as a liaison between the field and corporate teams. - Provide field personnel and customers with customized sales and data reports. - Confirm with field personnel and/or customers that product is properly reflected in applicable ERP system (SAP), for accurate invoicing. - Communicate with and assist field personnel and/or customers to obtain and apply purchase orders for pending cases. - Collaborate with internal partners to resolve pricing, inventory, or other issues with bill-only orders. - Assist customers with obtaining invoices and credit documents as requested. - Assist with credits or exchanges, collaborating with field personnel and finance to ensure timely resolution. - Research, track, and provide resolution relating to freight, carrier, or other issues. - Facilitate status updates as necessary for customers regarding warranty credits. - Monitor and communicate with the field team when a product has not been registered. - Verify and correct territory assignments within Medtronic’s SAP system. - Review and update alignments for implanter assignments. - Possess comprehensive knowledge of Medtronic products, services, and cross-functional teams. - Contribute innovative ideas that lead to positive business results and process improvements. - Maintain customer relationships to increase and maintain Medtronic’s competitive advantage. - Support and manage other duties as assigned. Qualifications - High School Diploma or GED - Minimum of 2 years of relevant experience; Customer service, call center or administrative support experience Requirements - Fluent in Microsoft Outlook/Word/Excel/PowerPoint/Teams/etc. - Proficient computer navigation skills: the ability to work in multiple applications simultaneously. - Self-motivated and proactive in addressing issues; problem solver. - Team player capable of interacting with a broad range of personalities, styles, and preferences. - Strong work ethic and customer service mentality. - Works well under pressure in a dynamic environment. - Excellent communication skills, both written and verbal. - Previous Medtronic experience. - Knowledge within Medtronic ERP system (SAP), Medtronic Connect, Medtronic mStar Global Sales Reporting, etc. - Strong interpersonal relationships and capacity to influence all levels of an organization. - 5+ years of administrative support experience. - AA/BA/BS degree. Role Description - Provides administrative and operational support for volunteer onboarding, transitions, and offboarding processes. - Serves as a primary point of contact for new and departing team members, ensuring a smooth and positive experience. - Coordinates onboarding communications, orientation schedules, training assignments, and resource distribution. - Tracks onboarding progress and completion of required training, documentation, and system access requests. - Manages offboarding procedures, including exit communications, account deactivation requests, and documentation collection. - Maintains accurate volunteer records, onboarding materials, process documentation, and status reports using organizational systems. - Collaborates with department leaders to coordinate onboarding needs, role transitions, and staffing updates. - Assists with the creation, review, and updating of onboarding guides, training materials, and process documentation. - Uses Google Drive, Asana, Slack, and other organizational tools to manage workflows, records, and communications. - Monitors onboarding and offboarding timelines to ensure tasks are completed accurately and on schedule. - Identifies opportunities to improve onboarding and offboarding processes and enhance volunteer engagement and retention. - Provides regular updates and reports to leadership regarding onboarding progress, volunteer transitions, and process metrics. - Coordinates with other department leadership as requested. - Performs other duties as assigned.
