Board Engagement & Outreach Logistics Specialist

Role Description PMI is looking for a mid to senior-level individual contributor responsible for managing and executing all logistical activities related to speaking engagements and outreach events for PMI’s Board of Directors. This role collaborates with cross-functional teams across PMI and with PMI chapter representatives to ensure seamless coordination, execution, and communication of the Board’s engagement, and will continuously improve processes to meet organizational needs. - Develop and maintain a dynamic calendar and dashboard of Board engagements aligned with the PMI Outreach Plan and the Annual Board Communications plan, incorporating real-time updates. - Document and communicate Board speaking and engagement assignments based on requestors’ interests, availability, and strategic priorities. - Collect and maintain visa requirements, travel information, Chapter Fact Sheets and other preparatory materials for chapter and regional events. - Partner with regional teams, and other organizational partners to create culture and travel briefing materials. - Arrange gifts and adhere to cultural protocols for events. - Compile, analyze, and report on trends and findings from Board outreach events, ensuring actions are tracked and communicated. - Manage the Smartsheet tool used to automate and optimize the process, produce dashboards and continuously improve board members’ experiences. Qualifications - Bachelor's degree desired; postgraduate business degree preferred. - 5+ years of board or executive level communication experience in global, multi-market business environments. - Experience leading dispersed teams across geographies. - Smartsheet expertise is a plus. - Strategic thinker with strong commercial acumen and problem-solving skills. - Expert in building and managing partnerships that drive revenue. - Excellent communicator with strong presentation and negotiation abilities. - Comfortable with ambiguity and energized by change. - Fluent in English (PMI's business language). - Results-driven with a positive, resilient mindset. - Travel up to 5% (team meetings).
