Scheduling Coordinator

Role Description We are looking for a highly organized and proactive ABA Scheduling Coordinator to manage and maintain the schedules of Behavior Technicians (BTs), Registered Behavior Technicians (RBTs), and clients. This role is critical in ensuring consistency of care, proper staff-client matching, and compliance with clinical and insurance requirements. The ideal candidate is a problem-solver who communicates effectively and thrives in a dynamic, fast-paced environment. CRM Experience is advantageous. - Create, manage, and update schedules for RBTs/BTs to ensure consistent client sessions, continuity of care, and authorization compliance. - Match technicians with clients based on availability, location, experience, and clinical needs in collaboration with the clinical team. - Communicate clearly and professionally with staff, caregivers, and clinical supervisors regarding schedule changes, conflicts, and confirmations. - Track staff availability, PTO, and scheduling preferences to optimize caseload coverage. - Collaborate with BCBAs to identify and fill gaps in services and maintain required treatment hours. - Ensure all sessions are scheduled in alignment with insurance authorization limits and clinical recommendations. - Maintain accurate and up-to-date scheduling information in the company’s EMR or scheduling system. - Track and report open hours, staffing needs, and scheduling trends for ongoing improvement and efficiency. - Participate in team meetings and contribute to staffing and caseload allocation discussions. Qualifications - Strong organizational and time management skills with the ability to manage competing priorities. - Excellent verbal and written communication skills. - Familiarity with CRM platforms and scheduling software (e.g., CentralReach, HIPP Health, Monday.com, etc.). - Ability to work independently and as part of a team in a fast-paced environment. - Strong problem-solving and critical thinking skills. - Ability to handle cancellations. - Comfortable working U.S. hours. - Remote work from home. Preferred Experience - Experience working in or supporting an ABA agency or behavioral health clinic. - Understanding of insurance authorizations, session types (direct, supervision, parent training), and billing requirements. - Knowledge of geographic constraints and regional coverage planning for in-home sessions. Requirements - Bachelors of science in nursing (BSN) (preferred). - Specialty certification (preferred). - Requires full range of motion, manual and finger dexterity, and eye-hand coordination. - Requires corrected hearing and vision to normal range. - May require some exposure to communicable diseases or bodily fluids. - Light work – Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
