Role Description We are looking for a highly motivated and results-driven Appointment Setter with strong outbound sales experience. In this role, you will be responsible for reaching out to B2B prospects, generating interest, and scheduling in-person meetings for the sales team. You will follow structured scripts while adapting your communication style to maximize conversion rates. The primary purpose of the Health Services Weekend Admissions Coordinator is to follow the pre-admission and admission process for Skilled Nursing, Assisted Living, and Memory Care. This position will be responsible for communicating with residents, families, and Givens team members throughout all levels of care. This position will work closely with the case management department for all local hospitals, Independent and Assisted Living facilities, and other referral sources as indicated. This role will work on Saturdays and Sundays for a total of 16 hours per week. We are looking for someone to work remote within WNC or the Charlotte area. What you'll do: - Work closely and communicate with the Health Services Admissions Coordinators, Health Services Directors, Director of Nursing, Nurse Supervisors, and Corporate Director of Sales for Health Service - Establish and maintain relationships with community organizations that generate resident referrals to our campuses. - Monitor all incoming referrals and calls from all sources (Calls, website inquiries, hospital portals, fax, etc.) and respond within 1 hour of receiving it. Utilize the Customer Relationship Management system (Aline) consistently and update. - Complete the pre-admission and approval process in a timely manner. This includes reviewing clinicals, verifying insurances/finances, determining level of care needs, equipment needs, and gathering all necessary documentation. - Communicating insurance coverage, out of pocket expenses, services provided, what to bring, expectations, and outline of the admission process with families prior to admission. - Communicating information and needs regarding incoming admissions/move-ins with all departments within the facility. - Prepare and complete all move-in Admission Agreement documents with residents/families prior to or upon arrival to facility via DocuSign. - Schedule Admission Conference meetings with residents/families upon admission - Perform any other duties and/or tasks that may be assigned on an as-needed basis by an authorized supervisor What you'll need: - Bachelor's degree preferred or applicable admissions experience. - Minimum of one year experience working with healthcare partners and a solid understanding of the healthcare and senior services industry. - Experience with Microsoft Office 365 (Sharepoint, Excel, etc) Compensation is $30.00 per hour. Role Description The Admissions Coordinator (AC) is accountable for providing an excellent customer experience by guiding clients through the pre-admission process post clinical assessment. The AC is a critical team member in the front-end admissions (enrollment) department. The position receives potential client referrals with level of care recommendations from the clinical intake team and works to convert those referrals to higher level of care admissions. - Ensure beds and programming spots are filled to maximum possible occupancy. - Requires a heavy sales orientation and the ability to coordinate critical pre-admission appointments. - Carry out complex administrative processes while providing excellent communication and direction to clients, families, internal staff, and external providers. Schedule: - Remote - Full time, 40 hours per week - M-F 10a-7p CST Compensation Disclosure: - Admissions Coordinator: Starting hourly range between $24.04-30.00 - Final Compensation offered will be within pay range based on qualifications/experience met for the position. You will serve clients daily in a multitude of ways: - Guide clients through the pre-admission process while communicating with internal and external care teams, loved ones, and referring facilities. - Drive step-in (new admission) volume performance, while also supporting internal client transitions (step-ups and step-downs). - Overcome client objections and barriers to help clients admit into the services they need as quickly as possible. - Collaborate with clients and their support systems to build motivation and insight to increase the likelihood of conversion to treatment. - Manage multiple demands and prioritize pre-admission needs for an active caseload of potential clients, including: - Contacting new referrals within 1 business day. - Frequently following-up with clients on the interest list. - Managing the receipt and requesting of medical records necessary for pre-admit medical clearance. - Administrative tasks within the EHR for opening and closing episodes of care, verifying/compiling census, etc. - Interpret insurance benefits to provide a comprehensive financial quote to the client. - Partner with insurance teams for seamless application of client benefits. - Schedule pre-admission appointments, including medical intake, nursing assessment, program orientation, clinical reassessments, and intake evaluations. - Document all required activities in various systems (EHR, Census App) in a timely manner. - Effectively communicate details regarding the admission process, program specifics, and answer any admission related questions. - Communicate admit confirmation details to all necessary internal teams. - Always maintain the confidentiality of former and current clients’ protected health information, as directed by state and federal law, and Accanto Health’s policies. - Performs other duties as assigned. Qualifications - Bachelor’s degree in psychology, social work or related mental health field or equivalent experience required. - 2+ years of experience in a healthcare setting required. - 2+ years of experience in a behavioral healthcare call center and/or enrollment center desired. - Basic knowledge of MS Office Suite with ability to learn new applications.
